Job Summary

The Applications Technician is responsible for the administration, maintenance, and optimization of the Computerized Maintenance Management System (CMMS) supporting facility operations, maintenance programs, asset management, and workforce productivity. This role serves as the primary system administrator for CMMS applications, ensuring accurate asset data, work order management, preventive maintenance scheduling, reporting, and user support. The Applications Technician works closely with facility managers, maintenance technicians, engineering teams, IT personnel, and vendors to ensure the CMMS is maintained as a reliable business system that supports operational excellence, compliance, asset reliability, and data-driven decision-making.

Essential Duties & Responsibilities

CMMS Administration & System Management - Administer and maintain CMMS platforms, ensuring system integrity, functionality, and reliability. Manage user accounts, permissions, security settings, and application configurations. Coordinate software updates, upgrades, testing, and implementation activities. Troubleshoot system issues and serve as the primary point of contact for CMMS support requests. Work with software vendors and IT teams to resolve application, network, and interface-related issues. Develop and maintain CMMS standards, procedures, and user documentation.

Asset Management & Data Governance - Create, maintain, and validate asset records, including equipment, locations, spare parts inventories, serial numbers, warranty information, and criticality rankings.

Ensure accuracy, completeness, and consistency of asset data within the CMMS. Support asset onboarding, equipment migrations, and facility expansion projects. Conduct periodic audits of asset information and implement corrective actions as necessary. Develop data quality controls and standardization processes.

Work Order Management - Create, assign, schedule, track, and close maintenance work orders. Verify accurate documentation of labor hours, material usage, contractor services, and equipment downtime. Monitor work order status and coordinate with maintenance personnel to ensure timely completion. Support emergency, corrective, preventive, and predictive maintenance workflows. Analyze work order history and identify trends affecting equipment reliability and maintenance performance.

Preventive Maintenance Program Administration - Develop, schedule, and maintain preventive maintenance (PM) programs and task libraries. Create PM procedures based on manufacturer recommendations, regulatory requirements, and operational needs. Monitor PM compliance and completion rates across supported facilities. Work closely with maintenance supervisors and technicians to address overdue PMs and backlog reduction initiatives. Ensure PM schedules support equipment reliability, compliance requirements, and operational efficiency.

Reporting, Analytics & KPI Management - Generate routine and ad hoc reports to support operational and management decision-making. Track key performance indicators (KPIs) including: Preventive Maintenance Completion Rate, Work Order Backlog, Mean Time Between Failure (MTBF), Mean Time to Repair (MTTR)

Asset Downtime, Labor Utilization Maintenance Compliance Metrics. Develop dashboards and performance reports for facilities and leadership teams. Analyze maintenance data and recommend process improvements.

User Support & Training - Provide day-to-day technical support to CMMS users. Train maintenance technicians, supervisors, and site personnel on CMMS functionality and best practices. Develop user guides, training materials, and standard operating procedures. Support onboarding of new users and ongoing system adoption efforts. Promote data entry accuracy and CMMS utilization across facility operations.

IT & Systems Integration Support - Support CMMS integrations with enterprise systems including ERP, procurement, inventory, and building management systems where applicable. Assist with database maintenance, reporting tools, and network connectivity issues affecting application performance.

Coordinate with Information Technology teams regarding system security, backups, and cybersecurity requirements. Participate in application testing, implementation, and system enhancement projects.

Qualifications

Education

(HS Diploma, Under/Graduate Degree, etc.)

Associate degree in Information Technology, Computer Science, Facilities Management, Engineering Technology, or related field; equivalent experience will be considered.

Business Experience

(prior years work/related experience)

Minimum of 2-3 years of experience administering CMMS applications, maintenance systems, facilities software, or related technical platforms.

Licenses/Certifications

Experience working with common CMMS platforms such as: Corrigo,

Maximo, Maintenance Connection, eMaint, UpKeep, Hippo CMMS

Fiix, FMX, Archibus.Strong understanding of maintenance workflows, asset management principles, and preventive maintenance programs. Experience creating reports, dashboards, and performance metrics.

Language Skills

Ability to read and interpret documents such as safety rules, operating maintenance instructions and procedure manuals.  Ability to write routine reports and correspond accordingly.  Ability to speak effectively before groups of customers or employees of an organization.

Technical Qualifications & Skills

Technical Skills-  CMMS Administration and Configuration, Asset Management, Preventive Maintenance Program Management

Work Order Management, Reporting and Analytics, Data Validation and Quality Assurance, Microsoft Excel and Power BI, Basic Network and IT Troubleshooting, User Access and Security Administration
