General Description

  • The Enrollment Coordinator is responsible to:
  • Maintain communication with Admissions Director to assist in the onboarding of new families and details pertinent to their enrollment
  • Initiate and process re-enrollment for existing families (and contact deferred/waitlisted families from year prior)
  • Process enrollment packets
  • In coordination with Admissions, create tracking spreadsheet for Finance Department and HOS containing enrollment numbers, rate of attendance, financial aid/scholarships
    • Track per student tuition number
    • Run metrics on enrolled students
  • Provide enrollment data to Head of School, Vice President of Schools, and President to help plan for growth, measure success, etc.
  • Manage staff nursery enrollment alongside Dean of Early Childhood
  • Build student and faculty schedules in SIS and assign students to classes
  • Maintain detailed records of schedule adjustments; coordinate with finance when necessary
  • Build yearly class rosters with appropriate Dean and/or teacher feedback.
  • Maintain important documentation to student profiles in SIS (report cards, transcripts, outside credit documentation, teacher recommendations, work samples, 504/IEP plans, etc.). Update House affiliation, alerts and student photos in SIS
  • Communicate with families about Financial Aid and Scholarships, internal and ACE (season beginning, key deadlines, requirements for applications, award notifications, etc.)
  • Convene financial aid committee meetings (Head of School, VP of Schools, VP or Director of Advancement, Provost). Ensure financial aid awards are sent in a timely fashion.
  • Send families registration forms and tuition contracts
  • Assist Athletics and Theater Departments with addition of students to rosters
  • Finalize payment agreements
  • Set payment plan roll-over dates and coordinate start of the new financial year with finance office.
  • Work with Curriculum Director to align enrollment numbers with book orders
  • Progress SIS from year to year (Cleaning up data before progressing)
  • Manages withdrawal, add/drop, and transfer process, working with Finance and HOS, including feedback paperwork
  • Manage High School transcripts, ensuring students are meeting graduation requirements in a timely manner.
    • Meet with high school freshman to inform them of requirements and make a degree plan. Meet with high school juniors to check on graduation status and senior year.
  • Manages transcript ordering service, Parchment.
  • Reports dual enrollment rosters, and semester and final grades to college partner William Jessup University
  • Teaches at least one class per year

Qualifications: At least three years relevant work experience. Excellent organizational, written communication, and interpersonal skills. Previous experience with a student information system (SIS), Blackbaud preferred.

Reports To: Head of School Houston, Vice President of Schools

Salary Classification: Full-time / twelve months

Supervision of Others: student worker if applicable

Hours Per Week: 40
