Title: US Project Coordinator

Status: Full-time

Hours: 40/week, Monday-Friday, 9 am-6 pm

Location: Bloomington, IN

Position Summary: The Projects Coordinator is an integral part of the Projects team, working closely with Project Managers as well as with teams across the label to assist on Secretly Group releases (Dead Oceans, Jagjaguwar, Secretly Canadian). Candidates must have a knack for organization, with a sharp attention to detail and strong time management skills. The ideal candidate is eager to learn, proactively contributes to campaign execution, and develops the knowledge to provide meaningful project support throughout the album campaign cycle. This is a full-time position, reporting to the Director of Projects, US. The position can be based out of our New York or Bloomington office.

Responsibilities:

  • Serve as the day-to-day direct support for Project Managers on an assigned set of projects, functioning as an embedded member of the Core Project Team. This will include working closely with Project Managers to assist in coordinating elements of the album campaign cycle.
  • Develop a comprehensive understanding of assigned campaigns, including timelines, priorities, and action items, to provide comprehensive project support.
  • Coordinate logistics for and participate in Project team communications, including planning and scheduling meetings, sharing agendas, taking minutes, and distributing action items.
  • Assist in generating UPCs and ISRCs and work with the A&R team to collate Label Copy for all recordings.
  • Prepare and deliver metadata and other NRI materials for distribution title set-up via RIOT.
  • Work closely with Project Managers and the Production team to manage production deadlines, strategize stock pressing quantities, investigate quotes, and place all internal production orders for physical audio formats, merch, and value adds. Serve as the liaison between Projects and Production staff.
  • Collect assets from artists, managers, and 3rd parties (ie, photographers, video directors, mastering houses). Disseminate assets to the wider label team via Basecamp, AirTable, Slack, and other shared resource tools.
  • Organize and update project management hubs (such as Basecamp and AirTable) with project information. Ensure that these shared resources are accurate and up-to-date.
  • Assist in coordinating inventory management for projects, including artist, label and retail needs.
  • Work closely with the DSP team, Retail team and Secretly Distribution to optimize all campaigns across the digital and physical retail space.
  • Assist Project Managers and Operations management staff with special projects as needed.


The Ideal Candidate Demonstrates:

  • Must be able to demonstrate independent thought and action while operating in sync with a team.
  • Ability to set priorities and meet deadlines.
  • Effectively manage multiple concurrent projects.
  • Background of 1-2 years in music industry preferred.
  • Knowledge of and enthusiasm for the Secretly Group artist roster.
