Job description

Synspective USA is seeking a part-time Business Operations Manager to support the day-to-day operations of our growing US subsidiary.
This role will work closely with the CEO and serve as a key operational partner between the US team and our headquarters functions, including Human Resources, Accounting, Legal, Security & IT, and PR.
The ideal candidate is a strong communicator and problem solver who enjoys building processes, coordinating across teams, and taking ownership of operational challenges. While experience in one or more administrative functions is helpful, we are primarily looking for someone who is resourceful and capable of learning new areas quickly. This position offers a unique opportunity to help shape the operational foundation of a growing international business.
Key Responsibilities
  • Operational Coordination
  • Serve as the primary operational liaison between Synspective USA and headquarters teams, coordinating and tracking cross-functional initiatives involving HR, Accounting, Legal, IT, and PR.
  • Support the development and documentation of internal processes and procedures, identify operational inefficiencies and recommend improvements, and ensure operational issues are resolved in a timely manner should they arise.
  • Support vendor management, invoice management, contract administration, inventory management, and office operations.
  • Coordinate payroll, benefits, onboarding, and offboarding activities with internal and external partners.

  • Excellent organizational and project coordination skills.
  • Strong written and verbal communication skills.
  • Ability to work effectively with stakeholders across different functions and cultures.
  • Strong problem-solving mindset and willingness to learn unfamiliar topics.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency with common business software tools (Google Workspace, Microsoft Office, etc.).

Preferred qualifications
  • Experience in operations, administration, project management, business support, HR, accounting, legal operations, or related fields.
  • Experience working in a startup or rapidly growing company.
  • Experience working in an international environment.
  • Familiarity with payroll, benefits administration, vendor management, or corporate compliance.
  • Japanese language skills are a plus but not required.
