Jackson & Jackson Dental is the comprehensive general dental practice of Dr. John Morgan Jackson III and Team. Dr. Jackson is seeking an Executive Business Coordinator to oversee the front office patient processes of his patient-centered, boutique practice and to delegate some of the practice management responsibilities from Dr. Jackson’s busy to-do list. With the addition of an associate dentist on the horizon, the team is eagerly seeking a like-minded, collaborative lead administrative member as they enter the next phase of their practice growth.

The Executive Business Coordinator’s position is a full-time, permanent position which will conduct a variety of administrative operations supporting our highly reputable, “boutique-styled” practice with an emphasis on patient relationships and upholding a standard of excellence. After being learning the basic processes of dental administrative patient management, general areas of responsibility include: Personnel management, Project/Operations management, Patient Management, and Accounts Receivable.

Personnel Management Responsibilities: Organizing and leading team meetings, picking up business-related tasks delegated by Dr. Jackson, following up on decisions and deadlines decided in meetings, keeping track of time-off / vacation requests for Dr. Jackson and arranging coverage efforts, and coordinating details for staff outings and celebrations. As the practice grows and new positions are added, you’ll help with candidate interviews and, eventually, become more involved with overall team management. However, in the beginning, Dr. Jackson will continue much of this role, as you flatten the learning curve required to become a dental administrative expert.

Project/Operations Management: Oversees facility upkeep, project management for Dr. Jackson (especially when unforeseen issues arise), communicating changes to our website managers, assembling monthly metrics reports for Dr. Jackson, discussing “numbers” and strategies for growth, collaborating with Dr. Jackson on practice building efforts and implementing many of the strategies to support decisions, handling various tech support issues and contacting resources when support is required; essentially, being “on point” for Dr. Jackson to manage, solve, and prevent problems.

Face-to-Face Patient Communications: Working alongside our fabulous Patient Care Coordinator Ashley, you will oversee or directly process all front office tasks such as artfully managing new patient inquiries, “check in,” “check out,” scheduling routine care (like patients calling for their periodic cleaning appointment) and expertly answering more questions about dentistry than you’d ever imagine! Additionally, our EBC will attend the large, more complex restorative case presentations with Dr. Jackson and, after presentation (after training) review the case fees, payment options, explain how insurance benefits partially offset costs, and make their next appointment on Dr. Jackson’s schedule.

Revenue Cycle Management: Overseeing the accounts receivable, processing patient bills, making soft calls to inquire about open balances, and remitting insurance claims for payment. You’ll know policies like the back of your hand and the most efficient ways to process claims for swift payment.

In summary, our Executive Business Coordinator (EBC) has two general areas of responsibilities. One area functions as an extension of Dr. Jackson to oversee the smooth day-to-day front office operations which will enable him to re-balance the practice to have the strength and support in our front office as we currently have in our clinical area. The second area of responsibility joins Dr. Jackson as he presents findings and suggests solutions to patients seeking comprehensive and cosmetic dental treatments. Once the treatment plan is confirmed, the EBC “carries the ball” and their excellent communication skills help to finalize details related to cost and payment to support the patient’s decision to improve their oral health and confident smile.

Industry experience is nice, but NOT REQUIRED to apply!

A qualified EBC candidate does not need to have prior medical or dental practice management experience to apply (even though that work history is quite helpful to the learning curve of this position).

  6. Excellent written and verbal communication skills to represent our brand and help patients follow through with treatment.
  7. Technical aptitude to quickly learn software and eager to lead initiatives that improve internal processes and communications.
