Job Summary
The University of North Georgia is accepting applications for an Administrative Assistant IV. Under the leadership of the unit supervisor, the administrative assistant provides budgetary and administrative support and oversight for functions related to the Institute's operations.
This position is a P-card holder. In addition to background checks for all cardholders, O.C.G.A. § 50-5-83 requires a credit check on all employees issued a purchasing card. Additionally, credit checks must be run at the time of Pcard renewal.

Responsibilities
  • Budget Management Role:
    Manages all the unit's institutional budgets (stated on Operations Budget Management report), including monitoring, reconciling, analyzing, and reporting data.
    Manages all purchasing responsibilities for the unit and grants within the unit.
    Pcard holder for the unit.
    Provides budget analysis to faculty, staff, and other administrative departments within UNG.
    Develops effective relationships with the budget office to identify budget variances and anomalies.
    Responsible for redistributing funds to ensure efficient flow of funds per state requirements.
    Main point of contact for all budgeting functions within the unit.
    Process all purchases, check requests, reimbursements, budget amendments, travel expenses and other report statements for unit.
    Maintain accurate records of activities associated with unit grants with data entry support from grant program coordinators.
    Maintain an understanding of program requirements for grants with effective collaboration with grant PIs.
    Collects reports for quarterly grant reporting and maintain budgetary records relating to grants with the unit
  • Administrative Role:
    In support of the unit, provides management oversight of unit staff in the daily operations including equipment, software renewals, purchases, budget information, inventory, facilities maintenance, marketing & communications, etc.
    Responsible for processing personnel management for the unit, including employment, contracts, and payment processes and Personnel Action forms.
    Coordinates complex administrative projects with supervisor, faculty, and grant PIs within the unit.
    Collaborate with unit supervisor and coordinators to input or facilitate input of course schedules into Banner for all five campuses.
    Collaborate with other administrative specialists across five campuses to ensure consistency and timely completion of tasks.
    Supervise unit student assistants assigned for various functions.
    Coordinates meetings for internal and external stakeholders.
    Arranges travel for the unit supervisor, faculty, students and potential job candidates.
    First point of contact for all faculty, students, and internal/external stakeholders for the unit and provides guidance for students including university support referrals, registrations, and other student needs.
    Receives, check-in, and monitor all purchases for the unit, including processing equipment/maintenance renewals.
    Room approver for all unit classrooms, including monitoring classroom access and equipment housed in classrooms.
    Maintains personnel, academic, and administrative records for the unit
  • Service Role:
    Serve on various committees as a unit staff representative (i.e. hiring committees, events, etc.)
    Coordinates and/or assist with coordination of various unit events such as GIS Day, Earth Day, major fairs, open houses, faculty/staff meetings, etc.
    Respond to inquiries from faculty, staff, and students requiring interpretations of policies, rules and regulations of the University.
Required Qualifications
  • Bachelor's Degree required or an equivalent combination of education and experience.
  • 1.5 years of clerical or administrative experience

  • The proposed salary is: $19.72-$21.69 hour.
