We are seeking a highly professional, organized, and proactive Administrative Support Specialist to provide executive-level administrative and mission support within a fast-paced military office environment. This position is ideal for an experienced administrative professional who thrives in a dynamic setting, anticipates organizational needs, and excels at balancing multiple priorities while supporting mission success.
Position Overview
The Administrative Support Specialist will provide comprehensive administrative, organizational, and operational support to Air Combat Command leadership and staff. This position serves as a central coordination point for communications, task management, scheduling, records administration, and executive support.
The successful candidate will demonstrate exceptional organizational skills, attention to detail, professionalism, and the ability to manage multiple competing priorities while maintaining strict confidentiality and supporting mission-critical operations.
Requirements
Key Responsibilities
Administrative & Office Management
  • Provide comprehensive administrative support within a military office environment.
  • Manage daily office operations, workflows, and administrative processes.
  • Monitor and maintain office supply inventories and coordinate replenishment.
  • Receive, process, distribute, and track incoming and outgoing correspondence and mail.
  • Maintain official files, records, and document repositories in accordance with DoD records management requirements.
  • Ensure administrative processes remain organized, accurate, and efficient.
Executive Support
  • Maintain executive calendars and coordinate meetings, conferences, and events.
  • Schedule appointments while proactively resolving conflicts and competing priorities.
  • Coordinate domestic and local travel arrangements, itineraries, and supporting documentation.
  • Prepare meeting agendas and accurately record and distribute meeting minutes.
  • Serve as the primary administrative point of contact for leadership.
Communications & Coordination
  • Monitor organizational NIPR and SIPR email accounts.
  • Manage incoming telephone calls and provide professional customer support.
  • Draft, proofread, edit, and format professional correspondence, memoranda, reports, presentations, and briefing materials.
  • Coordinate communication between leadership, internal staff, and external organizations.
  • Maintain collaboration platforms and communication tools that support organizational effectiveness.
Task & Project Management
  • Track, monitor, and manage official taskings using the Task Management Tool (TMT).
  • Coordinate suspense dates and ensure timely completion of assigned actions.
  • Assist Division Chiefs by assigning and tracking tasks across internal branches and external Air Combat Command organizations.
  • Integrate, prioritize, and deconflict multiple administrative actions based on mission priorities.
  • Develop tracking reports and provide routine status updates to leadership.
Office Technology Support
  • Operate, troubleshoot, and support office technology, including:
    • Video Teleconferencing (VTC) systems
    • Printers
    • Copiers
    • Scanners
    • Facsimile equipment
    • Projectors and presentation equipment
  • Coordinate with IT personnel to resolve technical issues when necessary.
Required Qualifications
  • Minimum three (3) years of experience working in a military office environment.
  • Relevant Department of Defense (DoD) administrative experience within the past five (5) years.
  • Minimum three (3) years of recent experience utilizing Microsoft Office applications, including:
    • Microsoft Word
    • Microsoft Excel
    • Microsoft PowerPoint
    • Microsoft Visio
    • Microsoft SharePoint
  • Experience creating:
    • Professional correspondence
    • Reports
    • Dashboards
    • Spreadsheets
    • Presentations
    • Databases
  • Experience coordinating executive calendars, meetings, and travel.
  • Strong organizational and time management skills with the ability to manage multiple priorities simultaneously.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and ability to maintain confidentiality.
  • Proficiency operating common office equipment, including VTC systems, printers, copiers, scanners, and presentation equipment.
Preferred Qualifications
  • Experience supporting Air Combat Command (ACC) or other Air Force organizations.
  • Experience utilizing the Task Management Tool (TMT).
  • Experience managing NIPR and SIPR communications.
  • Knowledge of DoD correspondence standards and records management procedures.
  • Experience supporting senior military leaders or executive-level personnel.
  • Familiarity with Microsoft Teams and SharePoint collaboration environments.
