Job Summary:

The IT Specialist is responsible for implementing IT projects and providing technical support for designated departments across the organization. This role requires strong business and technical skills to analyze, modify, and support application systems. Responsibilities include system configuration, testing, debugging, documentation, and collaboration with users and third-party consultants. The IT Specialist works closely with all levels of staff, particularly within assigned departments, and serves as a liaison with vendors and external developers.

Duties/Responsibilities:

  • Provide technical expertise and recommendations for new IT software projects and initiatives to support and enhance Microsoft-based systems.
  • Identify and implement opportunities to improve business process efficiency.
  • Coordinate and support the implementation of software updates with staff.
  • Collaborate with software vendors to configure, enhance, and support software products.
  • Investigate and resolve application functionality issues; provide first-level support and troubleshooting for departmental database systems.
  • Analyze, design, implement, and maintain workflow models for software applications.
  • Create and maintain quality assurance standards and policies.
  • Assist in troubleshooting software application issues and provide resolution.
  • Support management of outsourced relationships with third-party application development consultants.
  • Troubleshoot technical issues and recommend modifications to meet evolving user requirements.
  • Advise business users on effective use of applications and IT tools.
  • Develop and maintain in-house programming for internal IT projects.
  • Administer SQL environments in both live and test settings.
  • Write technical documentation, including user guides, procedures, and operational manuals.
  • Maintain and update technical documentation for new and existing applications.
  • Verify database structure and ensure data integrity.
  • Participate in weekly meetings with the IT team to discuss progress and issues to be resolved.
  • Contribute to IT project steering committees and assist in the design phase of new software development projects.
  • Assist in creating system design and functional specifications for new development initiatives.
  • Act as a liaison between business units to address and resolve software-related issues.
  • Share responsibility for Help Desk operations with the IT Manager.
  • Manage and maintain company cell phone services.
  • Manage and maintain the office phone system.
  • Demonstrate flexibility in working rotational shifts, including availability for after-hours and weekend assignments.
  • Ensures compliance with applicable laws and regulations, and upholds confidentiality regarding sensitive information.
  • Performs other duties as assigned.

Required Skills/Abilities/Knowledge of:

  • Strong knowledge of data processing, hardware platforms, and enterprise software applications.
  • Technical experience in systems networking, databases, web development, and user support.
  • Proficiency in database design using Microsoft SQL and Access.
  • Experience with Microsoft .NET, Visual Basic, Excel, Word, Outlook, and HTML.
  • Familiarity with Microsoft SharePoint.
  • Proficient in Microsoft Office Suite, Visio, and Project.
  • Working knowledge of departmental systems or platforms.
  • Strong project management skills with a focus on results in an IT environment.
  • Excellent analytical and problem-solving abilities.
  • Experience developing and implementing standards, procedures, and operational guidelines.
  • Self-motivated with the ability to prioritize tasks, meet deadlines, and adapt to changing priorities.
  • Proven ability to work independently and collaboratively in a high-pressure, on-call environment.
  • Willingness to work outside of standard business hours as needed.
  • Results-driven and comfortable in a fast-paced setting.

Special Requirements:

  • Possess a valid driver’s license and meet the company’s Motor Vehicle Records (MVR) standards.
  • Must be able to respond to on-call situations including occasional weekend work as needed.

Education/Experience:

  • 5 years of experience in technology, including 5 years in hands-on technical roles, with a demonstrated ability to plan and accomplish goals using sound judgment and experience.

Physical Requirements:

  • Prolonged periods of sitting and working on a computer.
