Administrative Assistant

We are looking for a talented Administrative Assistant to join the Vision Systems Business unit, to provide office administrative support to employees and managers on site.

Responsibilities
  • Provide general administrative support to our employees and managers on-site.
  • Answer, screen, and forward incoming phone calls and follow-up customers' calls.
  • Support managers in scheduling meetings and interviews
  • Logistics tasks and overseeing office services such as deliveries, documentation, mail, parking, etc. Including Bank and post office runs.
  • Ordering office supplies.
  • Scanning & copying.
  • Support HR in welfare-related issues and prepare onboarding for new employees.
  • Updates employees' training records and certifications in employee records.
  • Accounting support- filing invoices, checking suppliers' invoices, and following up with suppliers if necessary, checking payment deadlines, etc.
  • Organizing travels and visits- Creating invitation letters for business trips, hotels, and car rental booking, ordering catering for customers, and preparing meeting rooms.
  • Other related duties as assigned.
Requirements
  • 1+ years in an administrative position
  • Knowledge of Microsoft Office (Word, Excel, PowerPoint, and Outlook)
  • Excellent planning and organizational skills, attention to detail
  • Service-oriented
  • Outstanding oral and written communication skills and strong interpersonal skills
  • Must be able to work independently and as part of a small team
  • Must be able to multitask
  • Experience with working within a small team and prioritizing own workload
