Position Summary
HB is seeking an Investment Operations Associate to assist the Operations Team in the investment administration process for clients. This role will execute documentation related to new and existing private investments, coordinate client signatures, and work with fund managers to facilitate client transactions.
Job Responsibilities
  • Work with advisors, clients, and the Operations Team to administer the subscription process for all private investments.
  • Assist with client's requests and inquiries regarding private investments.
  • Liaise between client advisors and 3rd party managers to resolve matters regarding private investments.
  • Monitor communication from 3rd party managers and ensure information is circulated across the firm as needed.
  • Maintain documentation for ongoing private investments including W-9s, Partnership Amendments, and Quarterly Reports.
  • Help resolve client issues through independent research and collaboration with the underlying investment manager or other private investment team members.
  • Understand private investment transactions such as transfers, redemptions, distributions, and capital calls and work with internal stakeholders as well as investment managers to ensure these transactions are processed accurately and on time.
  • Identify processes and systems needing improvement and work with internal stakeholders to facilitate improvements.
  • Complete special projects and other duties as assigned.

Requirements
  • Bachelor's Degree from an accredited college or university.
  • 3 to 5 years of relevant industry experience.
  • Proficiency with Microsoft Office Suite, including but not limited to Word and Excel, as well as Adobe Acrobat.
  • Excellent oral and written communication skills.
  • Client first attitude, professional demeanor, personal integrity and an understanding of fiduciary responsibility.
  • Highly organized with exceptional attention to detail and excellent follow-through.
  • Self-starter with high initiative and comfort managing processes in an entrepreneurial, fast-paced environment.
  • Positive attitude and strong work ethic.
  • Strong interpersonal skills with the ability to partner effectively in a team and build trust and confidence of colleagues.
  • Ability to work effectively within a team environment and a willingness to "pitch in" when necessary.
  • Strong analytical and problem-solving skills.
  • Ability to successfully pass criminal background / credit check required.
