Job description

We are a multifaceted CPA firm with 16 offices across the Pacific Northwest providing financial and tax planning to our business and personal clients by offering payroll, bookkeeping, auditing, and tax services. We have partnered with wealth advisors and estate attorneys to create Coordinated Financial Care service for our clients.


The Job

We are looking for an Administrative Assistant to add to our dynamic team of professionals in our Bend, OR office. This role is essential to keeping daily office operations running smoothly and providing excellent service to our clients. Responsibilities include assisting with client communications, supporting the tax team, maintaining accurate and confidential records, and handling general office and administrative tasks.


Potential Duties:

  • Greet clients and handle inquires both in person and over the phone
  • Answering multi-line phone system and routing calls to the correct person
  • Schedule and confirm appointments via phone and email
  • Manage client files and confidential information with the utmost discretion
  • Provide administrative support to the office staff and management team
  • Perform general office duties including photocopying, faxing, mailing, shredding, and filing
  • Retrieve the mail from the post office daily and running errands
  • Manage and maintain office supplies inventory
  • Assist with bookkeeping and payroll duties as needed including the daily deposits


Qualifications:

  • High school diploma or equivalent required
  • Proven experience as an administrative assistant or in a similar role
  • Strong organizational skills with the ability to prioritize tasks efficiently
  • Excellent communication skills, both written and verbal
  • Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint)
  • Ability to handle confidential information with discretion
  • Detail-oriented with a high level of accuracy in work
  • Ability to work independently as well as part of a team
