Job description

Position: Event & Operations Coordinator - Zawyer Sports Mobile
Job Summary
The Event Manager / Operations Manager is responsible for planning, coordinating, and executing all event and game day operations while ensuring exceptional guest experiences, operational efficiency, and organizational excellence. This position oversees event logistics, building readiness, staffing, internship programs, vendor coordination, and operational planning for all Mobile market events. The role works collaboratively with all departments to ensure successful execution of games, community events, corporate functions, and special events.
Key Responsibilities:
Event Operations
  • Supervise the day-to-day event and operational activities.
  • Develop, implement, and improve operational processes and procedures to maximize efficiency and consistency.
  • Oversee all game day and event setup and breakdown activities.
  • Ensure all event spaces are prepared according to event specifications and timelines.
  • Conduct pre-event facility walkthroughs to verify readiness and presentation standards.
  • Lead and facilitate pre-event/game day staff meetings.
  • Serve as the primary operations contact during events and resolve operational issues in real time.
  • Develop event timelines, production schedules, and operational checklists for all events.
  • Coordinate event logistics from planning through post-event wrap-up.
  • Complete post-event evaluations and identify opportunities for continuous improvement.

Game Day Operations
  • Oversee game day setup and breakdown, including but not limited to:
    • Installing banners, signage, sponsor activations, and promotional displays.
    • Preparing 50/50 raffle equipment.
    • Ensuring DASH auction items are organized and available for pickup.
    • Confirming all electronic equipment is fully charged, operational, and event-ready.
    • Walking the venue before doors open to verify all operational areas meet organizational standards.
    • Running pre-game operational meetings with staff and interns.
  • Assist with:
    • Shots on Net promotions
    • Live Auctions
    • Post-game autograph sessions
    • Fan engagement activations
    • Premium hospitality and VIP experiences

DASH Program Management
  • Oversee all aspects of the DASH Program, including:
    • Creating and managing online raffles and auctions
    • Coordinating player autograph sessions
    • Contacting auction winners
    • Shipping merchandise
    • Preparing auction and raffle items for pickup
    • Tracking inventory and reporting results

Event Planning & Coordination
  • Plan and coordinate Season Ticket Member events, sponsor activations, community events, youth programs, and organizational functions.
  • Coordinate operational needs with Marketing, Ticket Sales, Corporate Partnerships, Merchandise, Food & Beverage, Security, Facilities, and Guest Services.
  • Coordinate staffing plans and operational coverage for all events.

Leadership & Staff Management
  • Supervise interns and game day employees.
  • Manage the Internship Program, including:
    • Recruiting and interviewing candidates
    • Hiring and onboarding interns
    • Scheduling office hours and game day assignments
    • Assigning projects and operational responsibilities
    • Providing coaching, mentorship, and performance feedback
  • Assist in recruiting, training, scheduling, and supervising part-time event staff.
  • Foster a positive, team-oriented work environment focused on accountability and customer service.

Vendor & Facility Management
  • Maintain relationships with venue partners to ensure open line of communication.
  • Send venue event details in a timely manner to ensure the venue has all upcoming event requirements.

Budget & Financial Responsibilities
  • Monitor event expenses and identify cost-saving opportunities.
  • Negotiate pricing with vendors when appropriate.
  • Track operational spending and recommend efficiency improvements.

Communication & Reporting
  • Communicate operational updates and project status to senior leadership.
  • Prepare operational reports and post-event summaries.
  • Collaborate across departments to ensure organizational goals are achieved.
  • Maintain accurate event documentation, schedules, and operational records.

Additional Responsibilities
  • Perform additional duties and special projects as assigned.

Qualifications
  • Bachelor's degree in Sports Management, Event Management, Operations Management, Business Administration, or a related field (or equivalent work experience).
  • Minimum of 2+ years of experience in event operations, venue management, sports operations, or a related field preferred.
  • Strong leadership and team management skills.
  • Excellent organizational, planning, and project management abilities.
  • Outstanding written and verbal communication skills.
  • Ability to prioritize multiple projects in a fast-paced environment.
  • Strong problem-solving and decision-making skills.
  • Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Ability to lift up to 50 pounds and perform physical event setup duties.
  • Valid driver's license with a clean driving record.
  • Ability to work evenings, weekends, holidays, and extended hours as required by the event schedule.
