Engineering Operations & Recruiting Coordinator
(Work from Home Remote or In Office)
REPORTS TO: Director, Engineering Operations & Compliance
JOB SUMMARY:
Real Time Consulting is seeking an Engineering Operations & Recruiting Coordinator for our North Phoenix Corporate Office. This role will support the Engineering Operations Services (EOS) and Recruiting teams. Responsibilities will include reporting activities, deadline coordination, tracking and planning of goals and initiatives along with general administration support.
This role is an essential member of the operations team! This role is the center coordinator between multiple departments, consolidator of data, and executor of various essential actions/tasks/projects. Candidate has a great opportunity to expand their professional experience in multiple specialties.
JOB DUTIES AND RESPONSIBILITIES:
This position has responsibilities supporting both the Engineering Operations Services and Recruiting teams.
ENGINEERING OPERATIONS SERVICES COORDINATOR DUTIES:
  • Create and maintain engineering and business operations reports
  • Track the Operations Purchase Order life cycle to assure all steps are completed within guidelines
  • Collect and track weekly Engineering timesheets & Work product progress reports
  • Maintain time off tracking system
  • Prepare Engineering on/off boarding documentation for project work
  • Summarize deliverables to meeting attendees, follow-up to ensure completion
  • Maintain business contract document logs
  • Maintain client ID registrations
  • Client satisfaction survey initiation and tracking
  • Review work processes to ensure compliance with business standards and to identify work improvements
  • Work with others to develop improvements to create timely and efficient workflow and reporting for the department
  • Support Engineering Operations Team with special projects as needed
  • Other coordination tasks as assigned

RECRUITING COORDINATOR DUTIES:
  • Maintain recruiting goal and actual activity reporting
  • Provide Engineering candidate information to hiring mangers
  • Support staffing model planning and execution stages
  • Manage job portal listings within Talent Management Database and job posting portals (Indeed, LinkedIn)
  • Coordinate and create Engineering job descriptions
  • Maintain current Engineering candidate communications
  • Prepare job postings and coordinate the job posting process
  • Maintain data and reporting on the Applicant Tracking System (ATS)
  • Maintain records on recruiting activities as required
  • Correspond with Engineering job applicants:
    • Schedule candidate pre-screens and interviews
    • Handle pre-employment inquiries and requirements
    • Complete screening for Recruiters to obtain work history, education, training, job skills, availability, and salary requirements
  • Research, analyze, prepare, and present hiring statistics
  • Support Talent Management Team with special projects as needed
  • Other coordination tasks as assigned

QUALIFICATIONS AND PREFERENCES:
  • 5 years of Operations, Recruiting and/or Office coordination / administration experience
  • 2 years of recruiting coordination / administration experience
  • Associates degree or equivalent training/education in Business, Engineering, HR, or related fields
  • Highly competent user of technical & software application solutions
  • Experience with ATS (Applicant Tracking Systems)
  • Proficient in Internet Searching and navigation, Boolean search techniques
  • Advanced user of Microsoft Office products (Word, MS Outlook, MS PowerPoint, Excel)
  • Extremely well organized
  • High attention to detail, resourceful, accurate and self-motivated
  • Ability to manage multiple tasks and project deadlines in a fast-paced environment with frequent interruptions and changes in priority
  • Ability to maintain, record, and document the flow of candidates through the recruitment process
  • Ability to comprehend and interpret instructions, short correspondence, and ask clarifying questions to confirm adequate understanding of expectations
  • Ability to communicate with multiple departments and gather information for consolidation and reporting

DURING COVID:
RTC determines Covid restrictions based on various factors. For this position, job training will occur virtually via MS Teams. This will take place through screen share video meetings, problem solving video meetings, staff video meetings; all our documents utilize secured shared server folders; IT will provide equipment necessary to do your work from your home and will coordinate with you to set up the hardware and software properly.Ongoing business work is currently performed remotely/virtually. RTC reviews our return-to-work strategy every few months.
