Position: Legal Assistant (WC Defense)
Location: Fully Remote (Must be based in CA)
Pay Range: $20.00 – $25.00/hour (Paid Weekly)

Our client is a boutique California workers' compensation defense firm seeking a highly organized, proactive, and detail-oriented Legal Assistant to join our remote team.

This is not a passive administrative position. We are looking for someone who understands the pace of workers' compensation defense, can manage deadlines, communicate clearly, and help ensure that every file is moving forward. The ideal candidate is someone who takes ownership, follows through, asks thoughtful questions, and understands that strong organization and communication are critical to excellent legal work.

About the Firm

Lozano Law Inc. represents employers, insurance carriers, and third-party administrators in California workers' compensation matters. We are a fully remote, technology-forward law firm that values professionalism, accountability, teamwork, and clear communication. Our firm uses MerusCase and relies heavily on accurate calendaring, document management, task tracking, and proactive case follow-up.

We are a small but busy defense firm. Every team member matters.

Position Overview

The Legal Assistant will support the attorney, hearing representative, Director of Operations, and paralegal team with day-to-day case management, calendaring, document preparation, filing, deposition coordination, medical-legal tracking, and client communication support.

The right person will be comfortable working independently in a remote environment while staying closely connected with the team through Microsoft Teams, email, MerusCase, and scheduled check-ins.

Key Responsibilities

Responsibilities include, but are not limited to:

Case Management and MerusCase Support

Maintain and update case information in MerusCase so the file tells the story of the case.

Save, name, tag, and organize documents accurately using firm protocols.

Enter and update tasks, reminders, deadlines, hearing dates, deposition dates, QME dates, report due dates, and follow-up items.

Review files for missing documents, duplicate entries, incomplete information, and overdue tasks.

Ensure that attorney, paralegal, and hearing representative deadlines are properly calendared and tracked.

Calendaring and Deadline Control

Calendar WCAB hearings, depositions, QME/AME evaluations, report due dates, supplemental report deadlines, DOR deadlines, objection deadlines, and internal follow-up dates.

Review the calendar daily for upcoming deadlines, conflicts, overdue items, and items requiring attorney attention.

Help ensure there are no missed deadlines, no double-bookings, and no unclear task ownership.

Follow up proactively when a deadline, report, record request, or client response is pending.

Workers' Compensation Defense Support

Assist with opening new files, notices of representation, initial letters, and case setup.

Assist with preparation and organization of medical records, personnel records, subpoenas, deposition exhibits, and QME/AME packets.

Track panel QME deadlines, strike dates, evaluation dates, report due dates, supplemental requests, and evaluator follow-ups.

Assist with deposition scheduling, confirming appearances, preparing notices, coordinating interpreters or conference rooms when needed, and ensuring deposition-related tasks are complete.

Assist with hearing preparation, trial readiness, exhibits, witness information, and status updates.

Client and Team Communication

Communicate professionally with clients, employers, adjusters, opposing counsel, vendors, doctors' offices, court personnel, and internal team members.

Follow up with adjusters and employers regarding missing information, records, witness availability, settlement documents, medical-legal issues, and case status.

Prepare draft emails, status updates, and client correspondence for attorney review.

Escalate stalled, unclear, urgent, or problematic issues promptly.

Filing, Service, and Document Preparation

Assist with EAMS/WCAB filings and service of documents.

Prepare proofs of service, shell pleadings, letters, notices, exhibits, and other routine workers' compensation documents.

Track what has been served, filed, mailed, uploaded, or sent to parties.

Confirm that documents are properly saved and tagged in MerusCase.

Billing and Administrative Support

Assist with billing support, time entry review, and cross-checking calendar activity against billing when requested.

Help identify missing billing entries tied to hearings, depositions, client updates, reports, and case activity.

Support general administrative tasks necessary to keep the firm organized and efficient.

Required Qualifications

Minimum 2–3 years of legal assistant experience, preferably in California workers' compensation defense.

Familiarity with WCAB procedures, EAMS filings, depositions, subpoenas, medical-legal process, and workers' compensation terminology.

Strong calendaring and deadline management skills.

Experience with MerusCase or another legal case management system preferred.

Comfortable working remotely and independently.

Strong written and verbal communication skills.

Proficiency with Microsoft Teams, Outlook, Word, Adobe/PDF tools, and cloud-based document management.

Ability to follow detailed procedures while also thinking critically.

Excellent attention to detail.

Strong follow-up skills.

Ability to manage competing deadlines in a fast-paced environment.

Remote Work Expectations

This is a remote position, but it requires structure, responsiveness, and accountability. The successful candidate must have a reliable home office setup, stable internet connection, and the ability to work during firm business hours.

Regular communication through Microsoft Teams, email, and MerusCase is required.

This is not a “work whenever” position. The firm operates on a professional schedule and requires availability during regular business hours.

Compensation

Compensation is dependent on experience and role scope.
