Job description

Oversees all aspects of the Medical Care program and ensures coordinated service delivery through deliverable and productivity monitoring.

Hires, trains, manages, discipline and evaluates clinical and support staff.

Coordinates patient care teams for the Health Center.

Assists in the development, writing and submission of grants (when necessary).

Assists in managing the development, implementation, and monitoring of grants, awards and contracts.

Assists in the development of relevant policies and procedures and ensures compliance.

Evaluates office production, revises procedures or devises new forms to improve efficiency work flow and priorities.

Assists with development or revision of forms as necessary. Recommends procedural changes in the management of the office resulting in efficient and effective production.

Responsible for assuring patient service needs are met. Monitors patient service feedback and contributes to the process of resolving complaints and service issues. Plans and initiates process improvement as required.

Documents patient related activities/information in the patientโ€™s electronic health record (i.e. Chart Updates/Tasks, etc.).

Serves as superuser of agencyโ€™s electronic health records system (EHR), providing input and training to the medical team as needed.

Monitors providerโ€™s schedules and makes adjustments as neccesary as it relates to blocking and altering schedules.

Creates provider templates in Electronic Health System (EHR) as requested.

Assists in the onboarding of Interns/students (collecting needed documents and coordinating with providers)

Generate reports in various systems as required for Health Center operations or as requested.

Coordinate Lunch & Learn for providers and support staff through Pharmaceutical companies. Establishes and maintains effective communication and working relationships with providers.

Responds to providersโ€™ concerns and resolve issues as presented.

Coordinates with other departments and agencies as necessary to facilitate the delivery of medical services and other services as needed.

Maintains relationships with specialty practices, pharmacies, community groups and organizations at the local and state levels to ensure coordinated service delivery.

Participates in internal committees as required (e.i. Clinical IT, PAC, UDS Committee, Billing & Compliance Committee).

Fiscal Duties

Analyzes and audits laboratory billings and invoices.

Manages, maintains, and reconcile all medical care services related financial information.

Orders supplies, medications and vaccines for the medical program.

Maintains, manages and reconcile inventory of medical supplies and capital equipment.

Provides timely progress reports to program director on the status of all programs.

Ensures charges related to services are properly captured and reflected in agencyโ€™s database (i.e. Intergy, Provide)

Reviews and process billing adjustments, refunds, transfers and returned checks

Quality Assurance/Compliance

Participates and prepares various on-site inspections as required by local and state laws.

Performs Quality Assurance and record reviews for the medical program.

Creates and distributes Standard Operating Procedures (SOP) for new protocols and procedures.

Serves as internal arbitrator of disputes involving clients, patients, staff, and visitors.

Prepares documentation and applications for the credentialing and recredentialing of physicians in the various managed care programs.

Assists in the planning, implementation, evaluation and performance improvement plans of Joint Commission Infection Control/National Patient Safety Goals measures, ACHA and HRSA departmental safety measures.

Provides continuous training to new and existing staff on all processes necessary to comply and maintain Joint Commission standards on the provision of safe, quality care, treatment and service

Maintains agency guidelines relating to safety, outreach and confidentiality.

Ensures proper hand washing according to Centers for Disease Control and Prevention guidelines.

Understands and appropriately acts upon assigned role in Emergency Code System.

Understands and performs assigned role in Agency Continuity of Operations Plan (COOP).

Acts as the Infection Control Preventionist

Bachelors or better in Health Administration or related field.

ExperienceRequired

At least (3) three years of experience in management of medical practice is required. Experience in personnel and financial management preferred. Advance knowledge in the field attained through a combination of applicable work experience (i.e. over 7 years) and intellectual instruction can be used in lieu of college degree. Continuous training in Infection Control and Prevention required.
