Overview

The Ministry Operations Assistant provides short-term administrative and event support for HOPE's Intern Program, Worship Arts and Family Ministries (WAFA) Team events, and volunteer-related activities. This role ensures smooth execution of key summer programs by assisting with planning, communication, logistics, and relational check-ins. This is a temporary, hourly position reporting to the Ministry Operations Lead.


Key Responsibilities

Intern Program Support

  • Assist with the preparation and execution of intern retreats, including planning, purchasing, and supplies.
  • Support all intern events (devotions, staff lunches, breakfasts, special gatherings).
  • Maintain regular check-ins with interns and help coordinate follow-up.
  • Conduct or facilitate regular check-ins with host homes.
  • Manage intern text updates, calendar changes, and general communication.
  • Order intern T-shirts and other needed materials.
  • Partner with Aidan on intern-specific college events.
  • Assist Aidan with Parents' Night Out for Foster Parents (background checks, food ordering, and event logistics).

WAFA Events & Staff Support

  • Coordinate meal planning and logistics in partnership with WAFA staff.
  • Assist with purchasing and preparing birthday and anniversary gifts for WAFA staff.
  • Support planning for the Parenting Date Night event.

Volunteer Coordination Support

  • Assist with prep for all-volunteer training sessions.
  • Organize communication lists and invitations.
  • Order food and supplies for volunteer trainings


Qualifications

  • Strong organizational and communication skills.
  • Ability to manage multiple tasks and adjust quickly to changing needs.
  • Comfortable assisting with events, logistics, and basic administrative tasks.
  • Warm, dependable, and able to interact professionally with staff, interns, and host homes.


Expected Hours of Work

  • 40 hours per week (on-site):
    • Sunday - 7:30a - 12:30p
    • Monday-Thursday - 9a - 5p
    • Weekday hours may flex when evening or Saturday hours are required for events.
