Job description

Office: Alumnae and Donor Relations

Reports to: Senior Director of Alumnae and Donor Relations

Work Period: 12-month

Hours: Full-time

Overtime: Non-exempt

Job Grade: 7

General Summary: Supports alumnae programming, data analysis, web maintenance, CRM and communications for alumnae and donors through the office of alumnae and donor relations within the guidelines of federal, state, and local laws, and office, division and college policies and procedures. Reports to the senior director of alumnae relations and works with the associate director, co-workers, student workers/interns, colleagues within the division of college advancement, as well as alumnae, faculty, staff, students, professionals at other colleges, and members of the community to support the alumnae office.

Essential Job Functions:

  1. Responds to inquiries and requests from alumnae, donors, faculty, staff, students by phone, e-mail, and in

Person.

  1. Collaborates with the senior director of alumnae and donor relations, coordinates communications, including email marketing and print mailings, to alumnae and donors. Responsibilities include pulling and importing lists, printing mailing labels.
  2. Solicits and receives class news from individual alumnae and class secretaries. Complies and edits class news for publishers and handles birth and obituary processes.
  3. Assists in implementing events such as Alumnae Weekend, Reunion Boot Camp, Career-related Alumnae events,
  4. Serves on the Alumnae Association Board of Directors and other alumnae meetings, class reunion and chapter events, including

producing meeting or event materials, printing nametags.

  1. Uses multi-user database (Raiser's Edge/Blackbaud) to create event registration forms, record all event registration and attendance, generates monthly and quarterly reports. Manages online registration platforms, online payment systems and mobile payments.
  2. Ensures the alumnae website and online community are up-to-date and accurate. Leads all website maintenance and UX optimization for the Agnes Scott Alumnae webpage and Alumnae Weekend website.
  3. Enhances alumnae engagement through social media platforms by managing content, scheduling posts, and editing videos.
  4. Serves as the staff leader to the Alumnae Relations office's student organization: Student Alumnae Ambassadors. Responsibilities include planning events, organizing meetings, procuring necessary supplies, assisting with interviews, creating presentations, and managing related activities.
  5. Recruits and supervises alumnae office student workers
  6. Collaborates with the senior director of alumnae relations and the director of alumnae and donor engagement, manages the office budget including submitting check requests and reimbursements and reconciling accounts monthly; Processes work orders, maintains gift and office inventory, and orders office supplies. Develops, tracks and reports the Alumnae Weekend and other relevant project budgets, the Alumnae House budget, and contributes to developing, tracking and operating within budgets for the alumnae relations office.

REQUIREMENTS

Education: Bachelor's degree preferred.

Experience: 2-4 years of office and event planning experience. Knowledge of Agnes Scott a plus.

Knowledge/Skills/Abilities:

  • Ability to interact successfully with a variety of people and personalities, including effective problem resolution skills.
  • Attentive to details.
  • Strong technical skills are required - proficiency in MS Office suite, Google productivity suite, Zoom video conferencing; and working knowledge of CRM/databases (Raiser's Edge, NXT, SalesForce, etc.) and/or email marketing platforms (MailChimp, Constant Contact, Emma, etc).
  • Experience with event/project management and possess skills that make event/project management successful.
  • Ability to communicate effectively.
  • Insured driver in the State of Georgia.
  • Demonstrated ability to work independently and to maintain confidentiality where appropriate.

Other:

  • Occasional Irregular hours and over-time required, depending on special events, projects and travel.

PHYSICAL DEMANDS

Intermittent sitting, standing, stooping, crouching, walking and occasional moving of light objects. Work is performed in an office or at off-campus social/business settings.
