Job Title: Assistant Director, Internships

Department: Joseph Meyerhoff Center for Career Development

Division: Student Affairs

FLSA Status: Exempt

Grade: 6

Salary Range: $47,700 - $59,600

Reports to: Executive Director of Career Development

General Purpose: Provide internship education through coursework and manage contracts while providing training and communication between students, faculty, and employers regarding internships. The Assistant Director will oversee the MICAnetwork job and opportunity database management and conduct technology systems integration and vendor communications for the Joseph Meyerhoff Center for Career Development.

Major role functions:

  • Advise and coach students, collaborate with faculty and staff members, and work directly with employers regarding internships

  • Provide career advising to students and alumni up to 10 hours per week and class presentations as needed

  • Facilitate MICA's for-credit internship program, including management of the Internship Orientation, internship agreements, and the Canvas Course INT402, including assignments and grading

  • Manage design, functionality, and system integration of MICA network job and opportunity database

  • Communicate effectively with both external and internal constituencies, including employers, faculty, and students

Essential Duties & Responsibilities:

  • Provide internship and career development advising and programming through scheduled/drop-in appointments, email/phone calls with students, class presentations, and group programs

  • Design and facilitate in-person group and online training sessions for students regarding internships and MICAnetwork

  • Revise online Internship Orientation with quiz for approving students to begin an internship as needed

  • Create, manage, and approve all incoming internship agreements electronically through MICAnetwork, facilitate internship approval process with faculty and employers, and register students for internship credit with the Registrar

  • Develop and co-teach the internship course INT402 in Canvas, and monitor all student assignments toward completion

  • Manage student and employer concerns that arise during internships and determine solutions that keep all parties in compliance with MICA policies and federal laws

  • Oversee Internship Fellowship program, including donor relations, student promotion, selection, disbursement, and tracking of funds, and intern site visits

  • Track all internships on campus, whether for credit or not, to provide accurate reporting and data collection on internship completion for MICA students

  • Coordinate with academic departments to provide past internship data and current resources specific to their major around internship opportunities to encourage more students to complete internships

  • Assist with acquiring partnerships with national and international internship sites and maintain positive working relationships with existing employer partners, including assistance with employer and networking events.

  • Design, maintain, and write copy for all internship websites, including Internship Histories, Internship Blog, Find an Internship Microsite, and mica.edu/internships

  • Serve as Career Development's liaison to Academic Advising, keeping advisers updated with student internship records, internship planning, and career development resources

  • Maintain ongoing collaboration with key partners (Academic Programs, Office of International Education, Registrar, Graduate Studies) to develop a culture of all students reporting internships as a requirement

  • Manage the MICAnetwork job and opportunity database, including design, functionality, system integration, upgrades, and data accuracy

  • Develop queries between PeopleSoft and MICAnetwork and manage migration of data between systems

  • Vet, build, and sustain relationships with technology vendors for Career Development, including but not limited to: Interstride, Behance, Canvas, and Calendly.

  • Troubleshoot and maintain business processes

  • Maintain employer, student, and alumni database MICAnetwork, update student and alumni information each semester, and train staff on how to add and extract information, and gather statistics

  • Work with Career Development team and partners around campus to create new online content as needed, and explore new technological platforms to ensure Career Development remains a dynamic and innovative resource

  • Gather information and statistics on student/alumni usage of Career Development, including assessment of services, to assist in office reports

  • Serve on Student Affairs and campus-wide committees

  • Perform other related duties as assigned

Minimum Qualifications:

  • Bachelor's degree with collegiate internship and/or data management systems experience

  • Advanced Excel experience

  • Excellent interpersonal, oral, and written communication, and sound judgment

  • Possess effective organizational skills, attention to detail, and an ability to multi-task

  • Ability to work independently while part of a team, and take initiative when necessary

  • Computer skills, including proficiency in Adobe Creative Suite, Microsoft Office Suite, and databases and web research.

Preferred Qualifications:

  • Master's degree in a related field

  • Experience in an art and design environment or career development

  • Experience working with college students

  • Supervisory experience
