JOB TITLE: Clerk - SIMS Elementary
REPORTS TO: Campus Principal & Assistant Superintendent of Federal and State Compliance
WAGE/HOUR STATUS: Nonexempt
PAY GRADE: Para 5
PRIMARY PURPOSE:
The Student Information Management System (SIMS) Clerk will assist with all appropriate campus personnel regarding information from the Data Management and Compliance Department. The SIMS Clerk will also assist with student records and provide support to teachers and administrators with student information.
All employees of SISD are expected to act with integrity, support and demonstrate our core values, communicate in a clear and respectful manner and seek to continuously improve self-performance and processes.
QUALIFICATIONS:
Required:
  • High School Diploma from an accredited institution.
  • Thorough knowledge of federal, state and local laws and board policies pertaining to public education student information management systems, processes and procedures
Preferred:
  • 60 hours or more of college coursework from an accredited college or university
  • five or more years of experience with public education student information management systems
SPECIAL KNOWLEDGE/SKILLS:
  • Ability to communicate effectively in both written and oral forms with all levels of organization, both internal and external
  • Ability to comprehend the Public Education Information Management System (PEIMS) and implement guidelines at the campus level
  • Ability to manage and impart confidential information
  • Skills in assessing and prioritizing multiple tasks, projects and demands
  • Excellent organizational and presentation skills
  • Excellent skills in the use of computer software with an emphasis on Microsoft Excel
MAJOR RESPONSIBILITIES AND DUTIES:
  • Monitor and update all PEIMS data required for federal, state and local reporting in a timely manner.
  • Interface with campus staff regarding the Public Education Information Management System (PEIMS) and report accordingly.
  • Correct and assist campus personnel with data compliance issues such as eSchoolPLUS, PEIMS, PID, PET and Texas Records Exchange (TREx) for final review by an administrator.
  • Meet weekly with the Registrar, Assistant Registrar, Attendance Clerk and members of the non-instructional data quality team to ensure PEIMS coding of data accuracy as it relates to transcripts, enrollment, withdrawal, leavers and attendance the administrator will have review for final approval.
  • Meet weekly with Assistant Principals and Data Stewards to ensure PEIMS coding is accurate as it relates to discipline incidents.
  • Meet every three weeks with the Registrar and members of the non-instructional data quality team to ensure date entry for PEIMS is accurate as it relates to grades administrator will have review for final approval.
  • Responsible for grade reporting, including but not limited to, grade entry, grade verification process, student report cards, progress reports and distribution of grades for review by an administrator.
  • Assist the liaison for Home Access Center, Teacher Access Center and eSchoolPLUS Admin.
  • Ensure accuracy of and deadlines for data entry and collection as scheduled by the Data Management and Compliance Department.
  • Responsible for accurate data entry for the following state required tasks the campus administrator will review for final approval:
    • No Show process
    • Enrollment Verification counts
    • 1st-6th six-weeks Membership Reconciliation
    • Maintain Campus Audit Box
    • Verify special populations and all snapshot data with campus personnel, district departments and the PEIMS and Compliance Analyst
  • Prepare the PET discrepancies and TREx requests for all campuses for review by an administrator.
  • Prepare documents to communicate information to staff, parents, students, and district personnel regarding PEIMS-related data.
  • Ensure accuracy of data input of permanent records, enrollment/withdrawals, discipline, attendance, master schedules, and summer school information for review by administrator.
  • Assist with creating an effective office protocol for data efficiency.
  • Ensure the smooth transfer of data to and from other district campuses.
  • Maintain confidentiality of information.
  • Provide an organized working environment so that data is secure and not for public viewing.
  • Remain updated on local, state, and federal policies regarding PEIMS.
  • Attend training sessions that are provided by campus and district personnel.
  • Pass the Spring Independent School District's Certification SIMS Course within the first 6 months of employment.
  • Perform all other duties as assigned.

The usual and customary methods of performing this job require the following:
Job may require prolonged periods of time sitting, moderate standing, stooping, bending, reaching and repetitive hand motions; prolonged use of computer. May require some lifting of no more than 10 pounds. Ability to maintain emotional control under stress.
