SUMMARY

Under the guidance of the HR Director, the HR Coordinator is responsible for providing support with Human Resources related duties across the organization. While fostering a supportive environment for all UMMA staff, the HR Coordinator supports HR initiatives related to employee relations, policies and procedures, benefits administration, safety and compliance, and recruiting.

RESPONSIBILITIES

Recruitment and Education Programs Support


  • Attends Job Fairs, recruiting events, and maintains relationships with outside recruitment sources (Including school career centers, campus recruitment events, and public Economic & Workforce Development boards)
  • Pre-Screens clinical provider roles and coordinates with medical leadership for interview scheduling
  • Coordinate onboarding for new hires, students, interns, and program participants
  • Facilitate orientation sessions for students, interns, trainees, and workforce development programs
  • Serve as primary HR contact for student placements, internships, and educational partnerships
  • Collaborate with program managers, department leaders, and educational institutions to support onboarding needs
  • Prepare onboarding materials, schedules, and orientation presentations for various participant groups
  • Ensure completion of onboarding documentation, compliance requirements, and system access
  • Support onboarding logistics including badges, workspace coordination, and technology requests
  • Track onboarding progress and maintain records for students, interns, and program participants
  • Coordinate facility tours, and introductions to department leaders
  • Assist HR and Programs Managers with student programs, and pipeline development efforts
  • Support 30-, 60-, and 90-day check-ins for students, interns, and new hires as applicable
  • Assist with recruitment support for student programs, internships, and future workforce pipelines
  • Maintain strong relationships with internal departments and external program partners


General HR Support


  • Supports the creation of Personnel and Confidential files
  • Assist with data entry and document control for employee matters and personnel files
  • Collectively tracks the records of all required documentation for interns, staff, students, and volunteer licenses, certifications, trainings, background checks, and other documentations in in conjunction with Credentialing, Compliance, and HR Specialists
  • Assists in ensuring compliance with state labor law policies relating to separation, contracts, and compensation schedule in compliance with organization’s policies, contracts, laws, and agreements.
  • Other Duties may be assigned to meet organizational needs

EDUCATION, TRAINING AND EXPERIENCE


  • HS Diploma or G.E.D.
  • AA or Bachelor’s degree in Human Resources Management, Business Administration, Public Health, Healthcare Administration, Public Policy, or related field preferred
  • 1 to 2 years of experience in a Human Resources function; previous human resources experience in a community clinic or health care setting is preferred.
  • Understanding of local, state, and federal regulations and laws which impact clinic/FQHC operations including HIPAA and regulatory requirements
  • Experience with maintaining clinical policies and procedures

  • Successful completion and acceptable results of post offer physical examination, drug screening, and criminal background check.
  • Ability to become proficient in HRIS systems and other reporting systems
  • Valid Driver’s License and Current automobile insurance
  • Ability to effectively communicate with a wide variety of people of various educational and socio-economic backgrounds and with clear and concise oral and written communication skills
  • Ability to establish and maintain cooperative working relationships with physicians, clinic staff, patients, and volunteers
  • Ability to function efficiently and independently, and to plan and prioritize daily work activities to meet clinic goals and objectives.
  • Solid organizational skills, ability to work under tight deadlines and be detail-oriented
  • Effective oral, listening and writing communications skills; strong telephone skills essential
  • Ability to work effectively with people of diverse cultures, ages, and economic backgrounds
  • Ability to work as a contributing member of the team
  • Communicate effectively with multi-disciplinary teams and staff. Must be well-organized and detail-oriented

While performing this work, the incumbent:
