Job description

We are looking for an in-office Project Coordinator to join our Tualatin, Oregon office. This position will support Project Managers with various administrative and coordination tasks, including preparing and maintaining project documents, managing project schedules, and communicating with clients and internal teams. The ideal candidate is detail-oriented, self-motivated, and experienced in supporting projects in a fast-paced environment. 

What You'll Do
  • Project Support: Assist Project Managers with project-related correspondence, coordination, and administrative tasks. 
  • Client and Team Communication: Communicate with project teams and clients regarding deliverables, task completion, process changes, and requirements using email, phone, and in-person communication. 
  • Documentation Management: Assist in preparing and tracking client proposals, contracts, submittals, and correspondence (letters, transmittals, meeting minutes). 
  • Project Scheduling: Maintain project schedules ensuring key milestones are met. 
  • Permitting Coordination: Coordinate permitting tasks with internal teams, clients, and jurisdictions. 
  • Client Relations: Build and maintain positive relationships with clients, subconsultants, and vendors. 
  • Support and Miscellaneous Tasks: Provide additional administrative support as needed, such as delivering plans and proposals, and assisting with client calls when the Project Manager is unavailable. 
Who You Are
  • Experience supporting engineers, architects, contractors, or surveyors and familiarity with the site development process is preferred, but not required. 
  • Proficiency with Microsoft Office Suite and project management software (e.g., Smartsheet, Trello, or similar). 
  • You have a "Do what needs to be done" mindset, taking ownership beyond assigned tasks and stepping in wherever needed to keep projects, teams, and clients supported and running smoothly.
  • Strong organizational skills and the ability to manage multiple tasks and deadlines. 
  • Excellent written and verbal communication skills. 
  • Self-motivated, detail-oriented, and proactive approach to work. 
Nice to Have
  • Experience with engineering or AEC (Architecture, Engineering, and Construction) industry-specific financial practices.Â
