Job Responsibilities Position Summary The Digitization Audit Intern assists the Records Management Unit in evaluating the quality, accuracy, and integrity of digitized records produced through the organization's records digitization initiative in PaperVision. The intern will review scanned records, verify indexing accuracy, assess image quality, and document audit findings to ensure digital records accurately represent the original documents.

The intern will receive a list of records for auditing purposes with audit issues named. Key Responsibilities Audit and Quality Review Using a computerized audit report, the intern will conduct audits of digitized records to verify accuracy, completeness, and legibility. Compare scanned images to original paper records, when available.

Review records for: image quality issues improper scanning resolution. Missing Data Confirm correct indexing and metadata Duplicates Indexing Verification Verify that digitized records are properly indexed and searchable within the electronic records system. Confirm accuracy of metadata including: Name State File Number Document type Date of event Audit Documentation Record audit findings in the digitization audit log.

Document errors, discrepancies, and potential risks. Track records requiring rescanning or correction. Reporting Support Assist with preparing audit summaries and reports.

Identify patterns or recurring issues in digitization processes. Provide recommendations to improve scanning workflows. Learning Objectives The intern will gain experience in: Digital records management Quality assurance for digitization projects Electronic records systems Information governance and compliance Audit methodology and documentation practices Minimum Qualifications Minimum Qualifications Current student or recent graduate in: Public Administration Library & Information Science Archives & Records Management Information Systems Business Administration or related field.

Knowledge, Skills, and Abilities Required Strong attention to detail Basic proficiency in Microsoft Excel or spreadsheet software Strong organizational skills Familiarity with document imaging systems Knowledge of records management concepts Experience working with databases or electronic document systems Physical Requirements Ability to review digital images on a computer for extended periods Occasional handling of paper records or archival boxes Additional Information The DPH Commissioner and agency leaders encourage all employees to engage in regular wellness activities and to make lifestyle choices that promote health and well-being.
