INTERIOR PROJECT COORDINATOR

JOB DESCRIPTION


Job Responsibilities include but are not limited to:


  • Collaborate with project managers, contractors, and clients to develop and maintain detailed project schedules using Procore or similar construction management software.
  • Assist in preparing and reviewing construction estimates and budgets utilizing construction estimating tools.
  • Coordinate procurement processes, including tracking contracts, purchase orders, and delivery schedules.
  • Monitor project progress through regular site visits and updates, ensuring adherence to safety protocols and quality standards.
  • Manage document control using Bluebeam or comparable software to review drawings, specifications, change orders, and RFIs (Requests for Information).
  • Facilitate communication between all project stakeholders to resolve issues promptly and keep projects on track.
  • Support contract administration by reviewing contractual obligations and tracking deliverables throughout the project lifecycle.
  • Maintain accurate records of project activities, including daily reports, meeting minutes, and change logs.
  • Request Construction Schedule from General Contractor
  • Updates POJ spreadsheet
  • Maintain Operations Meeting spreadsheet
  • Process Change Orders and maintain Change Order Request Log with deadlines for submittal
  • Maintain Workmanship Log for punch list tracking on jobs
  • Lift Rentals – tracking, call off, transfers and enters POs

  • Follow Ups from Meetings
    1. Combined notes from Co-CEO, Construction Manager and Estimation Manager
    2. To Do lists with deadlines for Construction Manager to distribute
  • Process Construction contracts
  • Job Set Up for Construction contracts
  • Set Up Job Folders for Construction
  • Issue PO# to vendors
  • Process & receive Purchase Orders to push to Accounts Payable.
  • Save Materials Quotes – historical data for fab
  • Ensure new team members understand how to enter time per project, have software training completed, and have everything they need for site

Knowledge:

  • High School diploma or GED is required


Work Experience:

  • Construction experience required, scheduling, PO and process flow experience is a plus
  • Similar industry administrative experience is preferred (renting lifts or heavy equipment with vendors preferred)

Skills and Competencies:

  • PROCORE experience is required
  • Excellent written, verbal and presentation skills
  • Detail oriented with excellent organization skills
  • Proficient in working with Microsoft Office Products including Word and Excel
  • Proficient in PDF creation
  • Must have valid state driver's license and good driving record

  • 100% Office Setting, including sitting, some bending, some lifting, walking and viewing
