Regional Facilities Manager

Job Purpose

To assist the Property Manager/ Director of Facilities in achieving their goals through maintaining the physical asset within the parameters set forth in the operating budget.

Duties & Responsibilities

  • Enhances portfolio performance relating to general maintenance by providing support to property maintenance teams through technical advice and expertise.
  • Ensures quality and quantity of work performed adheres to company polices, procedures and standards.
  • Practical and hands-on tasks required as the needs arise in addition to training maintenance personnel, including turning units, and resident service orders.
  • Responsible for training and supervision of maintenance staff and participating in hiring process.
  • Responsible for ensuring completion of unit turns, refurbishing and inspection of apartments prior to resident occupancy. Daily update of schedule and status reporting.
  • Responsible for overall general appearance of property, interior and exterior.
  • Ensure completion of all resident work orders and provide support to Property Manager.
  • Schedule maintenance personnel and work order requests, adhering to maintenance priorities.
  • Responsible for stock control and utilization of maintenance materials.
  • Schedule, monitor and keep accurate records regarding preventive maintenance, work orders, apartment refurbishing, inventories and stock.
  • Responsible for maintaining a safe work environment and compliance with OSHA regulations.
  • Participate in a standby emergency schedule for evening, weekend and holiday coverage.
  • Assist in and manage snow removal when necessary.
  • Devote full work effort toward fulfillment of property obligations as requested by Property Manager.
  • Walk the property with Property Manager once per week.
  • Must have the ability to communicate effectively, both verbally and in writing.
  • Ability to lift 50 pounds.
  • Assist in the selection and supervise contractors providing building services such as painting, window cleaning, trash chute cleaning, landscaping, etc.
  • Supervise vendors providing contract repairs to ensure work is completed in a timely, cost effective, and professional manner.
  • Supervise capital projects with the Property Manager.
  • Building and grounds maintenance.
  • Utilities and communications infrastructure.
  • Project management and supervising and coordinating work for contractors.
  • Liaison with tenants of commercial/ retail located within the assets.
  • Ensuring buildings meets health and safety requirements.
  • Checking that agreed work by on-site maintenance staff and contractors has been completed satisfactorily and following up on any deficiencies.
  • Manages the process of strategizing preventive maintenance throughout all assets.
  • Provides oversight of disaster recovery process by ensuring that Maintenance Supervisors and associate teams have appropriate tools and resources. Including Safety employee training program.
  • Required to be immediately available to assist with property emergency such as fires, floods, or weather emergency. Including, being responsible for overseeing the emergency plans safety and welfare of employees, residents, and commercial tenants.
  • Managers and oversees snow removal processes including shoveling snow per BPG policy and procedures.
  • Manages maintenance on-call 24-hour program including scheduling and covering yourself during staffing shortages/ constraints.
  • Flexibility and the ability to work evenings, weekends, holidays etc as needs arise.
  • All other duties as required.

Qualifications

  • Must be knowledgeable of maintenance systems, including inventory control, preventative maintenance, and service order record keeping.
  • Must be knowledgeable of mechanical systems and equipment including HVAC, landscaping, carpentry, painting, hydraulic systems, and electric motors.
  • Must be able to work in a fast-paced environment with demonstrated ability to handle and prioritize multiple tasks and demands.
  • Must be able to work independently and possess strong leadership and decision-making skills.
  • Must be able to effectively interact and communicate with individuals at all levels of the organization and customers/tenants.
  • Must have knowledge of office administrative procedures.
  • Must be extremely well organized.
  • Proficiency in computer skills including Word, Excel, Outlook, PowerPoint.
  • Valid driver's license required.
  • Experience dealing with new Construction as well as Project Managers.

Education

  • High school diploma required.
  • Technical Degree, Associates Degree, or Bachelor’s Degree not required but considered a plus

Experience

  • 5 years in Midrise & Highrise facility management experience
  • 3 years technical experience
  • Previous employment in the multifamily industry

Physical Requirements

  • Requires frequent walking and standing.
  • Requires frequent operation of office equipment; such as a computer, copy machine, telephone, etc.
  • Occasional stretching and / or bending to access file cabinets, office equipment, etc.
  • Occasional sitting required.
  • Must possess the ability to lift 50 pounds.
