 About Architectural Design

AD is a close-knit architecture design firm based in Orleans, MA. We’re a values-driven team that believes great work comes from collaboration, creativity, attention to detail, and a genuine commitment to our clients and each other.

We’re looking for a highly organized, proactive Administrative Assistant to help keep our day-to-day business running smoothly. This is a varied role that combines financial and administrative coordination, project support, and marketing—perfect for someone who enjoys wearing different hats and being an important part of a small team.

 What You’ll DoFinancial
  • Coordinate with our bookkeeper/accountant and ensure financial information is organized and submitted on time

  • Submit bills and vendor invoices for payment and maintain accurate supporting records

  • Track incoming client payments, retainers, invoices, and outstanding balances

  • Maintain organized financial, project, and office records

  • Manage calendars, meetings, deadlines, phone calls, emails, and general office coordination

  • Assist with proposals, contracts, client documents, presentations, and project logistics

Marketing & Communications
  • Assist maintaining the firm’s website and social media channels

  • Create and update project sheets, portfolios, presentations, and other marketing materials

  • Assist with project photography and maintain the firm’s image library

  • Assist with client events, open houses, and community initiatives

 What We’re Looking For
  • Strong organizational skills and exceptional attention to detail, clear communication and honesty.

  • High level of accuracy and confidence managing day-to-day financial activities, including invoices, payments, retainers, and financial records

  • Strong follow-through and the ability to manage multiple priorities

  • Clear, professional, and personable communication skills

  • A proactive, dependable approach and willingness to take responsibility

  • Ability to work independently while being an supportive member of a close-knit team

  • Proficiency with Microsoft Office; Adobe Creative Suite, social media, or bookkeeping/accounting software experience is a plus

  • Previous experience in administration, operations, bookkeeping/financial support, professional services, architecture/design, or a related environment is preferred
