We are seeking an Administrative Assistant to join our Association Management team in our Baton Rouge office. This full-time, non-exempt role reports to a Manager and provides a wide range of administrative and operational support, including basic accounts receivable functions. The role will require 5 days in the office.

What Work You Will be Responsible For:
  • Greet visitors in a professional and courteous manner.
  • Assist Association Coordinators by answering telephones as needed and accurately communicate messages.
  • Type, proofread, and prepare reports, correspondence, and related work for the department.
  • Provide photocopying, scanning, and other document management services, and maintain current firm forms and checklists.
  • Coordinate meetings and help ensure meeting rooms, office space, and storage areas are organized and ready for use by clients and visitors.
  • Coordinate work activities with team members based on priorities to support a consistent team and firm approach to assignments.
  • Prepare check and cash deposits and deliver deposits to the bank twice a week.
  • Process credit card transactions three times a week.
  • Maintain an accurate inventory and order and organize office supplies.
  • Make travel arrangements for Coordinators, Managers, and Directors.
  • Manage CPE tracking, registrations, and related administrative needs.
  • Enter time for team members on a daily basis when needed.
  • Perform administrative functions to support office staff, including processing and organizing incoming and outgoing postage.
  • Actively participate in staff meetings and training sessions.
  • Provide courteous and prompt service to internal and external customers and prioritize requests in a professional manner.
  • Identify opportunities to improve service, work processes, and financial performance and assist with quality improvement initiatives.
  • Perform other duties and services as assigned.

Basic Qualifications:
  • High School Diploma or GED is required.
  • 3-5 years of experience as an Administrative Assistant is preferred.
  • 1-2 years of experience with accounts receivable and accounts payable is preferred.

Preferred/Desired Qualifications:
  • Intermediate to advanced proficiency with Microsoft Office, with an emphasis on Microsoft Excel.
  • Experience with Adobe Acrobat, Canva, InDesign, Illustrator, iMIS, ProSystem fx Document, GoToWebinar, and survey software is a plus.
  • Strong attention to detail and the ability to work in a highly organized manner in a fast-paced, changing environment.
  • Professional written and verbal communication skills, including the ability to communicate effectively with a diverse group of individuals.
  • A positive, proactive approach with a high degree of professionalism and the ability to maintain confidentiality.

Other Considerations:
  • May be required to work overtime and weekends, as business needs arise.
  • May be required to travel and work from different company and client locations, as needed.
