Job description

Principle Responsibilities & Position Purpose:
Act as a support staff to the Sales and Marketing Department. Will be responsible for filing, answering phones, typing and general office duties.
ESSENTIAL FUNCTIONS
  1. Distribute contracts, memos, reports, changes, and revisions.
  2. Copy correspondence or other printed matter.
  3. Route incoming mail, faxes, and packages.
  4. Prepare confirmations, thank-you letters, cover sheets, functions information sheets, rooming lists, etc.
  5. Check and remove all information from Sales Managers out-baskets and keep an update.
  6. Use the intercom/voicemail system to announce appointments and calls
  7. Handle and direct all incoming phone calls.
  8. Handle and type all correspondence.
  9. Greet guests and direct them to appropriate parties.

SUPPORTIVE FUNCTIONS
In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by management based upon the particular requirements of the company.
  1. Follow through on all groups coming into the hotel.
  2. Maintain a file system the Managers on a monthly basis.
  3. Prepare detailed group histories for groups that are considering the hotel.
  4. Maintain office supply orders and par levels.
  5. Complete other duties as assigned by supervisor to include cross training.
  6. Report all unsafe conditions immediately.
  7. Attend all mandatory meetings.
  8. Follow and know emergency procedures as needed.
  9. Keep work area clean and organized.
  10. Maintain a good working relationship with other departments, employees, and guests.
