Position Summary

Xenia Stays is seeking an experienced Operations Manager to lead our day-to-day operations and oversee a small team supporting our luxury short-term rental portfolio.

This role is for someone who can create accountability, keep multiple priorities moving, build strong relationships, and confidently step in when situations require leadership or sound judgment. You will oversee team performance, owner communication, vendor coordination, guest escalations, and operational workflows while ensuring tasks, maintenance items, SOPs, and follow-ups are completed accurately and on time.

Just as important, we're looking for someone with what we call the "gene of hospitality." You genuinely enjoy working with people. You're warm, engaging, proactive, and solutions-oriented, and you naturally build trust with homeowners, guests, vendors, and your team.

What You'll Do
  • Lead, support, and hold accountable a team of five supporting day-to-day operations

  • Oversee operational workflows, SOPs, deadlines, maintenance items, and follow-through in Monday.com

  • Build strong relationships with homeowners and serve as a primary operational point of contact

  • Oversee virtual assistants, quality-check work, provide direction, and step in when situations fall outside established SOPs

  • Handle incoming guest calls and escalations requiring additional judgment or problem-solving (day-to-day guest communication is handled by your VA team)

  • Coordinate maintenance vendors and contractors, ensuring work is completed properly and on time

  • Build and maintain strong relationships with local vendors and community partners

  • Identify operational gaps, improve processes, and keep the founders informed while independently resolving day-to-day issues

  • Maintain top-tier property quality across all homes by proactively identifying issues, upholding our luxury standards, and ensuring each property is consistently guest-ready, well-maintained, and presented at its best

Required Qualifications
  • 3+ years of experience in short-term rental operations, property management, or luxury hotel operations is required

  • Previous experience leading a team and holding others accountable for results

  • Strong owner, client, guest, and vendor communication skills

  • Confident, outgoing, and relationship-oriented communication style

  • Proactive problem solver who takes initiative and follows through

  • Ability to manage multiple priorities and operate with a strong sense of urgency

  • Strong organizational skills and experience using Monday.com or a similar project management platform

  • Comfortable handling escalations, making decisions, and motivating others toward solutions

  • Must be local to the South Bay with a valid driver's license and reliable transportation

Preferred Qualifications (a nice to have but not a must):

  • Experience coordinating 1099 contractors, vendors, or field teams

  • Experience using AI tools to improve workflows or operational efficiency

  • Experience with short-term rental or vacation rental management platforms and operational tools, such as Guesty, Breezeway, or similar property management software

  • Background in luxury marketing, content creation, or social media

Compensation, Benefits & More
  • Compensation: $28–$35 per hour, based on experience

  • Bonus: Performance-based bonus opportunities tied to operational KPIs, guest experience, owner satisfaction, and team performance

  • Benefits: Company-provided laptop; health benefits may become available based on tenure and role progression

  • Schedule: Typically 30–40 hours per week with core weekday hours of 10:00 AM–4:00 PM. Occasional weekend availability may be required for on-site needs, guest escalations, or time-sensitive calls. While regular weekend work is not expected, this role must remain responsive and accessible to the operations team on weekends to provide guidance, answer questions, and support situations that require additional direction or decision-making.
