Position Description

We build immersive brand and cultural experiences in both digital and physical environments that captivate your audience, inspire action, and strengthen customer loyalty. Immersive Storytelling, Digital & Interactive Content, Museums, Arts & Cultural Spaces, Customer Experience Centers, Executive Briefing Centers, Activations & Live Events Experiential App Development.

This is a full-time hybrid remote / on-site position in our Cincinnati office. While residing and working remotely, regular monthly in-studio time with the team will be required.

Senior Integrated Project Manager Responsibilities

The ideal candidate thrives in fast-paced environments, balancing client relationships with meticulous project execution. They anticipate challenges before they arise, manage multiple workstreams simultaneously, and ensure every detail—from concept through installation and closeout is seamlessly executed.

The position requires excellent execution in performing project management work such as:

  • Able to manage end to end production for select large-scale projects, with support from the project team leads and Managing Director, head of production manage in defining the scope of current and new projects (goals, deliverables, schedules, staffing, SOWS, and budgets)Client Leadership
  • Serve as the day-to-day client contact throughout the lifecycle of experiential projects.
  • Build trusted client relationships through proactive communication and transparency.
  • Lead status meetings, document action items, and communicate project updates, risks, and solutions.
  • Ensure client expectations are aligned with project scope, schedule, and budget.
Project Management
  • Develop and maintain detailed project plans, timelines, workbacks, and critical milestones.
  • Coordinate internal teams across strategy, creative, design, production, technology, and account management.
  • Manage multiple concurrent projects with varying budgets and complexity.
  • Identify project risks and proactively implement mitigation strategies.
  • Ensure all deliverables meet quality standards and client expectations.
Budget & Financial Management
  • Develop and manage project budgets from kickoff through final reconciliation.
  • Track project profitability, change orders, and scope adjustments.
  • Monitor labor, production, fabrication, shipping, travel, and installation costs.
  • Partner with finance and leadership on forecasting, invoicing, and financial reporting.
Vendor & Production Management
  • Source, onboard, and manage fabrication partners, production vendors, installers, and specialty contractors.
  • Negotiate pricing, timelines, and statements of work.
  • Coordinate procurement, production schedules, logistics, freight, and inventory.
  • Monitor vendor performance to ensure quality, schedule, and budget adherence.
Installation & Event Execution
  • Lead planning and execution for installations, activations, trade shows, retail environments, and branded experiences.
  • Coordinate installation schedules, labor, permits, venue requirements, shipping, and onsite logistics.
  • Serve as the primary operational lead during installation and dismantle.
  • Quickly resolve onsite issues while minimizing impact to clients and project timelines.
  • Ensure projects are completed safely and according to quality standards.
Cross-Functional Leadership
  • Facilitate collaboration between creative, production, technical, and client teams.
  • Translate creative concepts into executable production plans.
  • Keep stakeholders aligned through clear communication and documentation.
  • Mentor junior project managers and coordinators as appropriate.
Experience You will Bring
  • Bachelor’s degree in Project Management, Marketing, Communications, Business, Design, or related field (or equivalent experience) preferred but not required.
  • 7–10+ years of project management experience within experiential marketing, exhibit design, event production, branded environments, or integrated marketing agencies.
  • Proven experience managing projects from concept through onsite installation.
  • Strong understanding of fabrication, production processes, logistics, and event operations.
  • Experience managing six- and seven-figure project budgets.
  • Excellent client management and presentation skills.
  • Exceptional organizational, negotiation, and problem-solving abilities.
  • Ability to manage multiple priorities under tight deadlines.
  • Demonstrates clarity, firmness, and fairness with clients, educating them as to the difficulties and challenges during each phase of the studio’s process in context with their respective contract with Hyperquake. It is understood that these qualities will help to ensure appropriate expectations and good communications while underscoring the collaborative nature of this work.
  • Technical adeptness and full understanding of development methodologies and practices
