General Summary
Provides administrative coordination and operational oversight to support integrated medical, mental health, and wellness services. Manages day to day clinical workflows, supervises clinical administrative staff, and coordinates scheduling, referrals, and interdisciplinary services. Collaborates with campus partners to support integrated programming and maintain high quality operations within a comprehensive student health environment.
Major Duties
  • Manages and coordinates daily clinical workflows supporting integrated medical, mental health, and wellness services in alignment with established clinical standards. Provides administrative oversight for multiple service areas, supervises clinical administrative staff, and ensures consistent, high quality operational support across departments.
  • Oversees provider scheduling, space utilization, patient access, and interdisciplinary workflows and facilitates communication among medical, mental health, academic, and wellness partners.
  • Supports integrated mental and physical health care by coordinating social work interns embedded within primary care teams. Assists with intern scheduling, documentation workflows, warm handoffs, and care transitions. Facilitates communication among departments, supervisors, and primary care teams.
  • Supervises clinical support staff who assist in coordinating care for students involved in coordinated assessment and response processes.
  • Coordinates schedules for psychiatry residents, social work interns, and graduate trainees and oversees onboarding processes. Serves as a primary point of contact for learners regarding clinic operations and workflow expectations.
  • Coordinates interdisciplinary programs with stakeholders. Supports specialized mental health and wellness initiatives and assists with logistics for outreach, group services, and performance focused programs serving targeted student and workforce populations.
  • Tracks internal referrals across medical, mental health, pharmacy, nutrition, and social work services. Manages external referrals to hospitals, agencies, specialists, and campus support services and monitors completion, follow up, and continuity of care.
  • Supports quality and compliance efforts by maintaining documentation standards, tracking quality metrics, and assisting with accreditation readiness. Ensures compliance with privacy and confidentiality requirements and supports staff training documentation and workflow optimization.
  • Supports insurance billing processes and communication with billing teams. Identifies operational issues affecting billing accuracy and escalates concerns as needed to ensure timely and accurate reimbursement.

Minimum Qualifications
  • Completion of certificate program in related field from an accredited institution.
  • Three years' relevant experience.
  • Medical office or administrative experience.
  • Experience with electronic health record system.
  • Experience working with medical insurance.
  • Certified coder.

Desired Qualifications
  • Experience in healthcare on a college campus.
