Position Summary

The DME Coordinator plays a vital role in delivering exceptional orthopedic patient care by ensuring patients are properly fitted, educated, and supported with durable medical equipment (DME) prescribed by their provider. This role combines clinical expertise, patient education, inventory management, insurance coordination, and administrative accuracy to create an outstanding patient experience.

The ideal candidate is highly organized, compassionate, and thrives in a fast-paced orthopedic practice. They confidently fit orthopedic braces and equipment, educate patients on proper use, maintain accurate documentation, collaborate across multiple departments, and serve as a trusted resource for both patients and clinical staff.

Duties and Responsibilities

  • Coordinate DME for patients at assigned locations.
  • Perform accurate measurements and fittings of orthopedic braces and durable medical equipment based on provider orders.
  • Educate patients on the proper application, removal, care, and safe use of orthopedic devices.
  • Clearly explain available DME options to patients.
  • Maintain accurate EMR documentation related to DME fittings, patient education, and inventory transactions.
  • Collaborate with Providers, Clinical Staff, Billing, Prior Authorization, and Insurance Verification teams to ensure timely patient care and accurate reimbursement.
  • Manage DME inventory by monitoring stock levels, ordering supplies, organizing products, and maintaining inventory accuracy.
  • Serve as the primary DME resource for assigned clinic(s), answering questions and assisting staff with DME-related processes.
  • Assist in onboarding and training clinical staff on proper DME fitting techniques and department workflows.
  • Communicate policy updates and process improvements with providers and clinic teams.
  • Maintain compliance with all DME policies, payer requirements, and organizational standards.
  • Take responsibility of assigned areas while contributing to the overall success of the DME department.
  • Perform additional duties and special projects as assigned.

Education, Experience, Licenses, and Certifications

Required

  • High School Diploma or equivalent.
  • Experience working in an orthopedic, sports medicine, rehabilitation, or durable medical equipment setting.
  • Experience providing direct patient care and education.

Preferred

  • Associate's or Bachelor's degree.
  • Two or more years of experience in one or more of the following:
    • Orthopedic or Sports Medicine practice
    • Durable Medical Equipment provider
    • Physical or Occupational Therapy clinic
    • Athletic Training environment
    • Certified Orthotic Fitter (COF)
    • Athletic Trainer (ATC)
    • Orthopaedic Technician certification
    • Additional orthopedic casting or sports medicine training
