Job description

Essential Duties and Responsibilities:

· Licensing Management: Process license requirements for agents and agencies across multiple states. Track license statuses and ensure all required documentation is accurate and up to date.

· Contracting Coordination: Submit and monitor contracting requests with carriers. Ensure proper completion of appointment paperwork and timely carrier onboarding.

· Compliance Tracking: Maintain accurate records of all agent licensing, appointments, certifications, and continuing education requirements. Proactively monitor for upcoming expirations and communicate with agents regarding renewal needs.

· Data Management: Accurately input and update licensing and contracting information into internal systems and databases. Ensure data integrity and accessibility.

· Carrier Communication: Serve as a liaison between the company and insurance carriers regarding licensing and appointment matters. Resolve issues and follow up on pending approvals.

· Agent Support: Respond to licensing and contracting inquiries from agents and provide guidance on requirements and procedures.

· Document Management: Organize, file, and maintain licensing and contracting documents, both physically and digitally, in a secure and systematic manner.

· Administrative Support: Provide administrative assistance to the President as needed, including licensing document preparation, correspondence, and other office support tasks.

· Process Improvement: Identify opportunities to streamline and enhance licensing and contracting procedures to improve efficiency and agent experience.

· Team Collaboration: Work closely with internal departments including New Business, Commissions, and Compliance to ensure smooth onboarding and contracting workflows.

Required Skills/Abilities:

  • Education: A high school diploma is required. A degree or certificate in accounting, business administration, or a related field is preferred but not mandatory.
  • Previous Experience: Prior experience in bookkeeping, accounting, or financial administration is advantageous, but entry-level candidates with strong potential will also be considered.
  • Computer Skills: Proficiency in Microsoft Office 365 (Excel, Word, Outlook) is essential. Familiarity with SharePoint and licensing websites a plus.
  • Numerical Proficiency: Strong aptitude for numbers and attention to detail to ensure accuracy in licensing records and follow ups.
  • Organizational Skills: Excellent organizational and time management skills to handle multiple tasks efficiently and meet deadlines.
  • Communication: Good verbal and written communication skills to interact with team members and external contacts.
  • Ethics and Integrity: Demonstrated ethical conduct and a commitment to maintaining confidentiality in handling financial information.
  • Adaptability: Ability to adapt to changing priorities and work effectively in a dynamic and fast-paced environment.

Physical Requirements:

  • Ability to constantly operate computer and other technical equipment.
  • Ability to sit or stand for extended periods of time while operating computer and conducting phone calls.
