Company Overview

A fast-growing financial planning firm in Tysons Corner, VA, is seeking a Senior Client Services Coordinator. This role supports team members to ensure every aspect of the client relationship is impeccably managed. We are seeking an organized self-starter with a positive attitude, attention to detail, and a desire to exceed expectations. Prior financial services experience is a plus but not required. This is primarily an in-office position located in a premium office space near The Boro in Tysons Corner, Virginia.


Position Summary

The Senior Client Services Coordinator reports to the Director of Operations. Responsibilities include executing investment, financial planning and insurance forms for new and existing clients, coordinating and preparing for review meetings, responding to inbound calls and emails, and creating the concierge client experience.


The Client Service Associate must be able to manage multiple tasks simultaneously while maintaining professional poise and courtesy to clients and internal team members.


Responsibilities & Activities

Wealth Advisor Support

  • Schedule review meetings.
  • Prepare documentation for review and financial planning strategy meetings.
  • Confirm all upcoming client appointments.


Client Experience - Onboarding and Service

  • Prepare and manage all aspects of digital client onboarding. Including client portal and e-signatures for account forms and gathering any required missing information from clients.
  • Build and maintain strong client relationships based on trust, responsiveness, and attention to detail. Serve as a primary point of contact for client service needs. Includes: providing clear updates to staff and advisors, timely follow-up, delegation, and responses to incoming client service and cashiering requests via email and other communication channels promptly and effectively.
  • Process routine service requests for client financial accounts, including:

Distributions and contributions

Beneficiary change requests

Account maintenance and updates

Statement requests and delivery

Required paperwork follow‑up and tracking

Coordinate with custodians, carriers, and internal team members to ensure accurate and timely completion of service items.

Execute trades associated with fulfilling investment service requests

  • Document client interactions, requests, transactions, and resolutions accurately in internal systems, including Advisor 360° CRM.


Concierge Services

  • Coordinate cards, gifts, and random acts of kindness for clients.
  • Create an extraordinary client experience


Accounting & Administrative Support

  • Facilitate handling of daily incoming/outgoing mail and urgent correspondence.
  • Coordinate weekly wholesaler lunches and activities.
  • Ensure quality and integrity client data in systems and maintain and update workflows in CRM.
  • Assist with preparation of financial and internal reports.
  • Support bookkeeping, budget tracking, and financial performance analysis.
  • Assist in tracking and ensuring timely renewal of investment and insurance licenses.


Performs other duties, special projects, and responsibilities, as assigned


Knowledge, Skills & Abilities

Required

  • 5+ years of experience in a Client Service Associate (CSA), Client Services Coordinator, or Client Relationship role within wealth management, financial planning, RIA, or financial services.
  • Familiarity with investment accounts, insurance products, and general account servicing (distributions, contributions, beneficiary changes, and account maintenance requests).
  • Strong organizational skills with the ability to manage multiple priorities and deadlines with precision simultaneously.
  • High attention to detail and accuracy, particularly with regulatory compliance, and client financial data.
  • Comfortable working with CRM, custodial platforms, and workflow tools.
  • Ability to work independently while also working collaboratively in a team‑oriented wealth management environment.
  • Professional demeanor with a strong commitment to confidentiality.
  • Impeccable verbal and written communication, customer service, and problem-solving skills with a client-first mindset.
  • Excellent attitude and a genuine interest in serving and caring for other people.
