Summary:


The Automation Installation Coordinator provides critical administrative support to the installation team to ensure timely and successful equipment deliveries to customers. This role works closely with managers and supervisors within the group, while collaborating with the purchasing team, inside sales, vendors, and customers. Key responsibilities include managing pre-installation coordination, document review, spreadsheet and schedule maintenance, report compilation, information distribution, daily team check-ins, and communication support.


Essential Duties and Responsibilities:

  • Create new sales orders and packets.
  • Send welcome emails to new customers.
  • Assists order processing for phone/fax/email orders and provides assistance for online ordering.
  • Documenting and following up on important actions given to them from meetings.
  • Preparing necessary presentation materials for meetings.
  • Ensure all installation paperwork is together with service reports from technicians.
  • Contacting customers to set up conference calls for pre-installs or exit calls.
  • Updating internal spreadsheets, schedules, backorder parts and work orders.
  • Conducts daily check-ins with the installation teams and updates charts and schedules.

Additional Duties:

Performs other responsibilities as assigned based on organizational needs.


Qualifications:

To perform this job successfully, and individual must be team oriented and possess excellent verbal and written communication skills, strong multitasking abilities, and high attention to detail. The candidate must be able to clearly document and communicate ideas, strategies, problems, and solutions in both verbal and written forms.


Education and/or Experience:

  • A high school degree is required for this role.
  • A 2-year degree and/or 3 years of customer service are preferred.
  • Familiarity with Microsoft AX, Word, PowerPoint, Excel, Salesforce, CAD, Smart Sheet and/or ADP.
