Job description

We are seeking an Administrative Assistant with experience in both billing/invoicing and accounts receivable. This position will support customer billing and receivables, with the day-to-day emphasis based on branch needs. The ideal candidate is organized, accurate, dependable, and comfortable working with customers and internal teams.
Responsibilities:
  • Prepare and process customer billing and invoicing in a timely and accurate manner
  • Review job information, pricing, purchase orders, and supporting documents for billing accuracy
  • Support lien management, including filing pre-liens and tracking required documentation and deadlines
  • Process and apply customer payments and maintain accurate accounts receivable records
  • Follow up on past-due accounts and assist with collection efforts
  • Research and resolve billing questions, payment discrepancies, and customer account issues
  • Communicate with customers, sales, branch leadership, and Accounting to support timely billing and collections
  • Organize and maintain digital and physical files and records
  • Prepare reports and spreadsheets for internal tracking and analysis
  • Answer and direct phone calls, take messages and handle inquiries
  • Support with general office tasks and assist other departments as needed
Preferred Qualifications:
  • Experience with billing/invoicing and accounts receivable required
  • General understanding of basic accounting principles and payment processing
  • Strong attention to detail, organization, and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong computer and data-entry skills; experience with accounting software and spreadsheets preferred
  • Ability to work independently, meet deadlines, and manage multiple priorities
  • High school diploma or GED required

Schedule: Monday - Friday
Pay: $18.00 - $23.00 per hour, depending on experience
Position requires a drug test be completed, contingent upon employment and a background check if applicable.
