Job description

The Installation Administrator is responsible for carrying out various administrative duties related to installation and service projects. This position reports to the Director of Metering Services. In addition to the duties and responsibilities below, this position is required to make the necessary decisions and direct necessary action in an effort to meet both Minol and Minol’s client’s expectations.

Duties and Responsibilities:

· Installation Division (60%)

o Review Pending Contracts, providing markups to Scope of Work and Schedule of Values.

o Review Job Cost Estimates and Proposals for accuracy prior to Sales distributing to clients.

o Setup new contracts, to include preparation of AIA or project specific billing documents, setup of project folder, project detail paperwork and entering budget.

o Receive billing documents from Project Managers for entry into UBS Accounts Receivable. Prepare invoices for work completed on projects. Sort, scan, save and upload invoice documents to appropriate project folders and SalesForce. Return original documents to Project Managers for distribution.

o Follow up on outstanding balances for completed projects.

o Assist Project Managers in following up on outstanding balances greater than 60 days past due.

· Service Division (20%)

o Prepare invoices for service work completed.

o Follow up on outstanding balances greater than 30 days past due.

· Project Management Assistance (10%)

o Payments – Assist accounting with coding payments to appropriate projects.

o Close Out Packages – Assist Project Managers with preparation of project close out and warranty documents.

o Assist with installation programming as needed (and time permits).

· Miscellaneous (10%)

o Participate in all Service/Installations meetings.

o Assist with checking in material deliveries.

o Assist Billing Department in following up on outstanding balances greater than 30 days past due.

o Coding Payables – Assist with coding payables to specific project/division/GL/expense codes.
