Position Summary

The Trailer Inspection Clerk plays a critical role in maintaining operational efficiency and safety standards at our terminal. This position involves greeting drivers, managing check-in/check-out processes, performing trailer inspections, and handling administrative tasks. The ideal candidate will be detail-oriented, dependable, and capable of working both indoors and outdoors in varying conditions.

Key Responsibilities

  • Greet drivers and visitors upon arrival at the office.
  • Manage the signing in and out process for drivers.
  • Perform a variety of administrative tasks to support office operations.
  • File important documentation accurately and efficiently.
  • Accurately enter data into various systems.
  • Coordinate effectively with clients, drivers, and management on the production floor.
  • Conduct thorough inspections of trailers to ensure they meet safety and regulatory standards.
  • Physically walk around each tractor-trailer entering the terminal and visually inspect the trailer.
  • Process driver paperwork.
  • Handle telephone inquiries.
  • Serve as the immediate point of contact for OTR drivers, providing direction and advice for navigating the site.
  • Utilize a customer-focused approach in supervising and communicating with all stakeholders.
  • Report any systematic errors, driver issues, or safety-related concerns to the Lead Clerk/Site Manager.
  • Ensure that all accidents or injuries are immediately reported to the Site Manager.
  • Adhere to policies and procedures provided by both Red Baron Transportation and the customer.
  • Maintain a positive attitude and professional image when interacting with customers and employees.
  • Perform additional duties as assigned by the Site Manager or Lead Clerk.

Qualifications

  • High School Diploma or equivalent.
  • Minimum 3 years of relevant experience.
  • Strong organizational skills.
  • Intermediate proficiency in Microsoft Excel (testing will be conducted).
  • Intermediate computer skills (SAP & FileNet a plus).
  • Friendly demeanor with a willingness to assist.
  • Effective communication skills, both oral and written.
  • Dependability with a strong commitment to punctuality and reliability.
  • Willingness to learn and thoroughly inspect and check-in equipment.
  • Ability to quickly learn and navigate customer-based systems.
  • Capability to generate and analyze necessary reports with guidance.
  • Ability to promptly recognize and address safety and operational issues after training.
  • Willingness to learn Red Baron Transportation's policies and operational procedures.
  • Openness to understanding the customer’s policies and operational procedures.
  • Ability to develop and maintain effective working relationships with the customer's employees.

Skills
