Are you passionate about the integrity of academic publishing and the advancement of global research? The Conference Quality team at IEEE is seeking a detail-oriented and collaborative Conference Quality Administrator to help ensure that conference papers published in the world-renowned IEEE Xplore® Digital Library meet the highest standards of quality, ethics, and scholarly rigor.
This role is ideal for someone who thrives in a structured, process-driven environment, enjoys working with both internal teams and external partners, and takes pride in maintaining accuracy and consistency in complex workflows.
Key Responsibilities
Peer Review & Committee Support
  • Prepare Technical Program Quality (TPQ) review materials using input from internal stakeholders.
  • Assemble and distribute TPIC Committee Packages until automated workflows are fully implemented.
  • Create CARC Committee Packages, track outcomes, and develop structured follow-up procedures.
  • Facilitate the peer review process by preparing comprehensive review packages for volunteer committees.
Vendor & Workflow Management
  • Review and act on results from external vendors, ensuring all outputs meet IEEE quality standards.
  • Manage Innodata workflows, including uploading materials from shared drives to the IEEE platform.
  • Release proceedings that have successfully passed Innodata review.
Operational Quality & Reporting
  • Prepare TPQs until automation is in place.
  • Triage, track, and report on inquiries received through the Conference Quality Zendesk alias.
  • Draft responses or escalate issues as appropriate.
  • Support ongoing improvements to quality-control procedures and documentation.

Qualifications
Required Skills and Qualifications:
  • Proficiency in SmartSheets, Excel, Word, ZenDesk, Google Docs, and database systems.
  • Strong organizational skills with a keen attention to detail.
  • Excellent written and verbal communication skills, including the ability to present information clearly and professionally.
  • Ability to work both independently and as part of a team, managing multiple tasks in a fast-paced environment.
  • Technologically proficient with a proactive mindset for problem-solving and providing business solution recommendations.

Job Salary:
$31-$34/hr
