Seasonal Accounting Assistant (Seasonal)

Job Duties:
  • Review invoices for appropriate documentation and approval prior to processing.
  • Process invoices and check requests in an accurate and timely manner.
  • Research and resolve invoice discrepancies.
  • Keys all adjustments to product-related payments, including credits, combining of payments which are a problem for the Accounts Payable Clerks, coding, and paying special charges associated with product vendor payments.
  • Advise Accounts Payable Clerks on payment-related issues that fall outside of normal payment processing and help to troubleshoot ERP system issues.
  • Payment processing of all expense invoices for Direct Distributors and related entities.
  • Payment processing of all purchase order-related freight, ensuring the product is received before freight is paid to the freight company.
  • Payment processing of all freight
  • Process pre-paid payments for required vendors.
  • Set up and maintain vendor information in the ERP system, including payment terms and remittance address information.
  • Processing check run, including invoice selection for payment, printing checks, stuffing checks in envelopes and applying postage and then transporting the checks to the post office.
  • Assist with daily and weekly reporting and scanning as needed.
  • Scans all purchase order-related invoices into Epicor. Vendor invoices will be received via fax, email, and USPS mail.
  • Scans packing list into Epicor.
  • Serve as backup in accounting department as needed.
  • Any and all other duties assigned by management
Qualifications for the position:
  • High school diploma or general education degree (GED).
  • One year certificate from college or technical school; or one-year related experience and/or training; or equivalent combination of education and experience.
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to speak effectively before groups of customers or employees of the organization.
  • Intermediate experience with Excel and Word software programs.
  • Intermediate experience with some type of accounting software programs.
Physical Expectations:
During the job, employees are regularly required to stand, sit, and/or walk for extended periods, use their hands to handle or control objects, and perform tasks that involve reaching, climbing, kneeling, or crouching. Employees must also be able to push and pull using various equipment. Specific vision abilities, including close, distance, color, peripheral, and depth perception, are necessary. Verbal communication and the ability to hear are also required for safety and coordination.
