Job description

Position Summary

The Senior Scan Technician – Records Storage serves as a subject-matter expert within the document imaging operation. This role is responsible for advanced scanning, indexing, quality control, and workflow oversight in a secure records-storage environment. The Senior Scan Tech supports production targets, ensures compliance with chain-of-custody and retention requirements, and provides day-to-day guidance to Scan Technicians.

Key Responsibilities

  • Perform advanced document preparation, scanning, indexing, and validation
  • Lead high-volume records conversion projects involving boxed client files
  • Verify box-, file-, and document-level identifiers against inventory systems
  • Ensure strict chain-of-custody and records security procedures are followed
  • Operate and troubleshoot production scanners and capture software such as Kofax / Tungsten
  • Conduct final-level quality control audits and approve completed batches
  • Identify indexing, image quality, or workflow issues and implement corrective actions
  • Train and mentor Scan Technicians on procedures, quality standards, and best practices
  • Serve as point of escalation for scanning, indexing, or document handling issues
  • Track daily production metrics and assist with workload balancing
  • Coordinate with supervisors on priorities, deadlines, and exception handling
  • Support audits, client requests, and compliance reviews
  • Assist with re-boxing, labeling, return-to-storage, or destruction preparation

Required Skills & Qualifications

  • High school diploma or equivalent (associate degree preferred)
  • Minimum 3–5 years of document scanning or records management experience
  • Proven experience in high-volume records storage scanning environments
  • Strong understanding of chain-of-custody, retention, and confidentiality controls
  • Advanced knowledge of document capture and indexing platforms
  • Excellent attention to detail and problem-solving skills
  • Ability to lead by example and provide on-the-job training
  • Ability to lift up to 40–50 lbs and work on your feet for extended periods

Preferred Qualifications

  • Experience acting as a lead or senior technician in an imaging operation
  • Familiarity with compliance requirements (legal, medical, financial records)
  • Experience handling exception processing and audit remediation
  • Strong documentation and process-improvement skills
