Job description

Position Overview
Under the direction and immediate supervision of the Network Associate Director, the Information Coordinator is responsible for obtaining, analyzing, assessing, and reporting data related to the operations of Network 4. This role supports staff in the implementation and utilization of electronic health records systems and the Quantum System.
The Information Coordinator ensures that documentation and reporting are complete, accurate, timely, and compliant with organizational and state requirements. This position also provides administrative, clerical, training, and quality assurance support across Network 4 programs and locations.

Essential Duties and Responsibilities
  • Administrative & Communication Support
  • Answer telephone calls and provide messages in a timely and professional manner.
  • Serve as the primary contact for SNAP and Medicaid Benefit Entitlements for the Network.
  • Assist with mail distribution.
  • Provide backup clerical and administrative support for Network 4 Administrative Assistant as needed.
  • Serve as support for employee payroll and other administrative functions.
Documentation & Reporting
  • Submit and track residential attendance daily/monthly.
  • Gather and track documentation required for state compliance, including:
  • Fire drills
  • Tornado drills
  • Water temperature logs
  • Monthly compliance reports
  • Physical Plant reports
  • Create and maintain monthly reports related to:
  • Quality indicators
  • Billing
  • Attendance
  • Financial tracking
  • Receipt tracking
  • Evaluations
  • Analyze collected data to identify trends and support quality improvement initiatives.
  • Train staff in the implementation and use of electronic health records and the Quantum System.
  • Monitor staff utilization and compliance with electronic documentation systems.
  • Assist staff experiencing difficulties with technology or electronic systems.
Financial & Operational Support
  • Collect receipts and complete monthly expenditure reports, including:
  • Gas cards
  • Credit cards
  • PACE cards
  • Link cards
  • Work closely with Program Coordinators to provide daily updates regarding outstanding documentation and compliance needs.
Skills and Abilities
  • Strong computer and information technology skills.
  • Advanced proficiency in Microsoft Excel and Microsoft Office applications.
  • Ability to train and support staff in the use of technology and electronic systems.
  • Strong organizational skills with the ability to multitask and prioritize responsibilities effectively.
  • Excellent oral and written communication skills.
  • Strong interpersonal and customer service skills.
  • Ability to work collaboratively with staff, program participants, families, and outside agencies.
  • Ability to interpret and explain policies, procedures, and regulations clearly and professionally.

PHYSICAL DEMANDS:
  • Be able to lift over 40 pounds from floor to waist unassisted

  • Remain in a stationary position, often standing or sitting for prolonged periods
  • While performing the duties of this job, the employee is regularly required to, stand, sit; talk, hear, and use hands and fingers to operate a computer and telephone keyboard reach, stoop kneel to install computer equipment
