Description
JOB SUMMARY:
The Maintenance Clerk provides critical administrative support to the maintenance department by managing records, generating reports, and keeping files organized to ensure smooth operations. This position handles routine administrative tasks and resolves operational issues under the guidance of the Supervisor. The role requires close collaboration with Supervisors to prioritize tasks and daily duties.
KEY ACCOUNTABILITIES:
1.
Provide clerical services to the Maintenance organization.
• Perform general administrative tasks including word processing, filing, answering phones, and data entry.
• Process invoices, expense reports, and purchase requisitions to prepare them for approval.
• Manage office equipment and order office supplies cost-effectively.
• Oversee the distribution of all incoming and outgoing mail.
• Assist in updating MOC's and closing work orders.

Assist Maintenance Supervisory personnel in efficient, effective time management.
• Retrieve, organize, and handle requests for information and data.
• Schedule and coordinate meetings, appointments, travel arrangements, and department events.
• Act as a liaison with internal staff across all levels of the organization.
• Partner with personnel in other departments to solve administrative problems and gather data for reports, projects, and meetings.

Assist with Maintenance computer records systems entries and updates.
• Maintain and update computerized maintenance records in compliance with company regulations and procedures.
• Input data and track employee compliance within the Red Vector training system.

Assist with maintenance department requirements within the PSM Program
• Update program tracking registers and maintain organized files with required supporting documentation.
• Monitor completion dates and keep staff informed of upcoming deadlines and program requirements.
• Review forms and documentation to ensure accuracy and completeness.
• Assist with updating department operating procedures and completing annual procedure reviews.
• Attend program meetings, provide progress reports, and communicate vital compliance information to the team.

Complete any additional duties and tasks assigned by the supervisor.

Must be supportive of all Company policies and procedures, including safety, environmental, and housekeeping; participate in the SVM safety program; and demonstrate safe work practices.
SUPERVISORY RESPONSIBILITIES:
• This job has no supervisory responsibilities.
Requirements
QUALIFICATIONS:
• High school diploma or general education degree (GED)
• Valid Driver's License subject to DMV record monitoring.
• Detail-oriented with the ability to manage multiple tasks efficiently.
• Ability to understand complex technical information and communicate it clearly.
• Ability to work effectively within a collaborative team environment.
• Willingness to learn and adapt to new software systems and organizational procedures.
• Strong organizational, recordkeeping, and time-management skills.
• Experience utilizing the Infor M3 CMMS system is a plus
REQUIRED SKILLS:
• Proficient in Microsoft Office Suite (Word, Excel, Outlook).
• Strong, accurate typing skills
PHYSICAL DEMANDS:
• Requires normal or correctable vision, normal hearing, and manual dexterity.
• Occasional lifting and carrying of objects up to 25 pounds.
WORK ENVIRONMENT:
• Primarily works in a climate-controlled office environment.
• Requires up to 10% of working hours in physical plant areas, with occasional exposure to outdoor weather and loud noise.
