Role Overview:

The Data Entry Operator safeguards the accuracy, completeness, and usability of customer and lead information across Bee Window's database. This role manages the flow of inquiries and appointments between the Call Center, Marketing, and other business partners, reconciling records and resolving discrepancies so the business runs on data it can trust. By producing reliable records and key metrics, the Data Entry Operator enables sound business decisions and timely operational follow-through.

This role reports directly to the Senior Manager, Business Operations and partners daily with the Call Center, Marketing, and Outside Sales teams, along with external lead vendors and partners. The Data Entry Operator also handles inbound customer calls, protects confidential information, and continuously looks for ways to improve data entry processes, systems, and workload efficiency.

Responsibilities:

  • Manage the flow of information through the Data Entry mailbox, triaging incoming requests and ensuring each one is completed accurately and on time.
  • Enter and update new inquiries, appointments, and customer records in MarketSharp (CRM) on a daily basis.
  • Reconcile data across systems and sources, investigating discrepancies and correcting records at the source.
  • Investigate lead ownership when the source is unclear, working with internal teams and external vendors or partners to verify and confirm.
  • Answer inbound calls professionally, building trust and rapport with homeowners and setting appointments where appropriate.
  • Conduct comprehensive audits to identify discrepancies, recommend corrective actions, and prevent repeat errors.
  • Scan, enter, and update historical customer records, including backlogged and legacy jobs.
  • Support project work tied to new data, historical data cleanup, and recurring reporting.
  • Produce and maintain accurate reporting and key metrics that leadership relies on to run the business.
  • Adhere to data confidentiality and security protocols at all times.
  • Identify and recommend improvements to data entry processes, systems, and overall workload efficiency.

Role Requirements:

  • Minimum of 1 to 2 years of data entry experience, including hands-on work in a CRM or comparable database system.
  • Average typing speed of 60 words per minute with a high degree of accuracy.
  • Proficient in Microsoft Excel, Word, and Outlook; able to learn and adapt to new platforms (MarketSharp and RingCentral experience is a plus but not required).
  • Exceptional attention to detail with a perfectionist's standard for accuracy and completeness.
  • Strong analytical and problem solving skills, with the ability to investigate conflicting information and reconcile records across multiple sources.
  • Professional written and verbal communication skills, including the ability to explain a data issue clearly to someone unfamiliar with the system.
  • Strong organizational skills with the ability to prioritize competing deadlines independently without letting routine maintenance slip.
  • Comfortable with change and continuous process improvement; works well as part of a team and equally well independently.

Logistics:

  • Reports to the Senior Manager, Business Operations.
  • Hybrid schedule based in Fishers, IN, with 2 days per week in office.
  • The standard shift is 9:30-5:30 M-Th, 8:30-4:30p F
  • Availability to work some evenings until 7:00 PM is required.
  • Compensation: $20.00/hour plus a $10 bonus for each sale generated from an appointment set.
