GENERAL JOB DESCRIPTION:ย ย 

Responsible forย overseeingย dailyย performanceย of the Service Center (centralized appointment scheduling, registration specialists,ย and operators) department functions and personnel.ย 

ESSENTIAL FUNCTIONS:ย 

  • Supervises, directs and ensures accurate scheduling of physician schedules.ย  Works closely with physicians and management team.ย 

  • Trains, monitors and evaluates staff.ย ย ย 

  • Supervises, directs and ensures accurate incoming call routing for the Operator team.ย 

  • Oversees theย Registration team to ensure quality of all insurance verification and auditing processesย align with department and practice goalsย 

  • Ensures positive customer service atmosphere and patient interactions through ongoing training/development/monitoring of staff. Seeks physician/staff feedback to ensure interactions are appropriate.ย 

  • Maintain an appropriate staffing level to handle incoming call volumeย and reviews dashboard metrics daily toย meet departmentโ€™sย goals.ย 

  • Oversees orientation/training including cross-training requirements to ensure staff availability/coverage requirements caused by vacations, sickness, peak loads.ย 

  • Assist with candidate selection and hiring process of new staff.ย 

  • Monitors/analyzes daily workload and productivity levels and reports to the Patient Services Director.ย ย 

  • Work closely with Patient Services Director to identify ways to improve patient access on an ongoing basisย andย to facilitate efficiencies in staff and patient workflows.ย 

  • Troubleshoot and research issues that arise to identify problems and develop recommendations for resolution.ย 

  • Assist in maintainingย oversight of all software that pertains to department including troubleshooting issues, tracking challenges and enhancement requests, assisting with action items providing directives as needed to avoid delays.ย ย 

  • Oversees and maintains all physician and midlevel scheduling preferences by ensuring all information loaded in software is updated and functioning properly. Work closely with physicians and midlevels to review and capture information on a minimum biannual basis, if not requested sooner by providers.ย ย 

  • Work closely with Leads and Managers from other departments to ensure delivery of exceptional patient care and completion of company goals.ย 

  • Performs scheduling tasks as needed.ย 

  • Motivate staff for maximum work efficiency.ย 

  • Maintains strictest confidentiality.ย

QUALIFICATIONSย 

Education:ย ย 

  • Bachelorโ€™s degreeย preferableย 

Experience:ย 

  • Minimum of five years progressively responsible customer service positions.ย 

  • Two years supervisory experience;ย call center setting preferred.ย 

  • Previousย medical experience preferred.ย 

Special Skills:ย 

  • Knowledge of customer service concepts and business methods.ย 

  • Knowledge of organization policies, procedures,ย systemsย and objectives.ย ย ย 

  • Knowledge of basic health insurance plans.ย 

  • Skill inย appropriate collection/analysis/presentationย of staffing, productivity, and cost data on a routine andย special-projectย basis.ย 

  • Skill in exercising initiative, judgment, problemย solvingย and decision-making.ย 

  • Ability to useย interpersonal skillsย toย establish/maintain relationships with patients and staff.ย
