Position Summary
The APP Inboxologist is a dedicated Advanced Practice Provider responsible for managing and optimizing ambulatory electronic health record (EHR) inbox workflows. This role focuses on timely review, triage, and resolution of patient messages, test results, medication requests, referrals, care gaps, and other non-face-to-face clinical tasks. The APP Inboxologist serves as an extension of the primary care team, improving patient access, reducing provider administrative burden, enhancing quality outcomes, and ensuring timely communication with patients
Primary Clinical Duties and Responsibilities:
- Review and manage assigned provider inboxes daily.
- Triage patient portal messages according to established protocols.
- Address routine clinical questions within APP scope of practice.
- Escalate complex, urgent, or high-risk clinical concerns to the appropriate physician.
- Ensure timely response to patient inquiries and requests.
- Review laboratory, imaging, pathology, and diagnostic test results.
- Communicate normal and stable results directly to patients.
- Coordinate follow-up testing, appointments, and referrals as appropriate.
- Escalate abnormal or critical findings according to organizational protocols.
- Ensure closure of all test result workflows.
- Process medication refill requests using approved protocols.
- Review medication adherence and identify gaps in therapy.
- Monitor medication-related safety alerts and follow-up needs.
- Identify patients due for preventive services and chronic disease monitoring.
- Support quality initiatives related to HEDIS, ACO, value-based care, and population health programs.
- Conduct outreach for care gap closure and chronic disease management.
- Participate in quality improvement initiatives.
- Document all patient interactions accurately within the EHR.
- Maintain compliance with regulatory, organizational, and payer requirements.
- Follow evidence-based clinical protocols and standing orders.
- Support audit readiness and quality documentation standards.
Education
- Graduate of an accredited Physician Assistant program as determined by the Committee on Allied Health. Education and Accreditation or a current Registered Professional Nurse and Graduate of an accredited Nurse Practitioner Program/Masters in Nursing.
- Current Certification from the National Commission on the Certification of Physician Assistants (NCCPA) or for Advanced Practice Nurses a current Certification from the American Nurses Credentialing Center (ANCC) or from the American Academy of Nurse Practitioners (AANP) and Registered Nurse First Assist (RFNA)certification if assisting in OR.
- Hold a valid, current New Jersey license.
- Obtain a New Jersey CDS and federal DEA certificate upon employment if not already covered.
- Minimum of 2 years of clinical practice experience in area Primary Care /Urgent Care/ Emergency Department
- Proven relationship-building skills with physicians as well as with all other key stakeholders
- Skilled in problem resolution and strong analytical capabilities
- Ability to build trust and confidence with utmost integrity
- Ability to lead change and build consensus to support change
- Solid clinical and clinical data related analytical skills
