Job Summary

The Onboarding Manager plays a critical role in delivering exceptional client experience by leading the implementation and transition of new retirement plan clients onto our recordkeeping and TPA platform. This individual serves as the primary relationship manager and project leader throughout the onboarding process, partnering closely with plan sponsors, financial advisors, payroll providers, and internal teams to ensure a smooth and successful conversion. Beyond implementation, the Onboarding Manager acts as a consultative resource during the sales and discovery process, helping prospective clients evaluate plan design and operational needs. The role also drives operational excellence by identifying onboarding bottlenecks, recommending process improvements, and collaborating across departments to create a more efficient and scalable client experience.

Primary Responsibilities
  • Lead the end-to-end onboarding and implementation process for 25-30 new retirement plan clients, including project planning, timeline management, client communications, and successful transition from sale through go-live.
  • Partner with Sales to facilitate client discovery and plan setup meetings, helping clients define plan design objectives, operational requirements, payroll processes, and service expectations.
  • Serve as the primary point of contact for plan sponsors, advisors, payroll providers, and internal stakeholders throughout the implementation process.
  • Coordinate efforts among Recordkeeping, TPA Administration, Payroll Integration, Sales, and Client Services teams to ensure a seamless onboarding experience and timely project completion.
  • Proactively identify and resolve onboarding challenges, risks, delays, and client concerns to maintain implementation objectives.
  • Evaluate onboarding workflows, client feedback, and operational performance to identify bottlenecks and opportunities for improvement.
  • Collaborate with department leaders to implement process enhancements, improve efficiency, and support scalable growth across the organization.
Primary Skills & Requirements
  • Bachelor's degree in Business related field, or equivalent industry experience.
  • 5+ years of experience in retirement plan administration, recordkeeping, TPA services, client implementation, or related retirement plan operations.
  • Strong knowledge of qualified retirement plans, including 401(k), Profit Sharing, Safe Harbor, and related plan administration concepts.
  • Demonstrated experience managing multiple projects, timelines, and client relationships simultaneously.
  • Strong communication, presentation, relationship management, and consultative problem-solving skills.
  • Proficiency in Microsoft Office Suite and CRM/project management systems.
  • Industry designations such as TGPC, QKA, QPA are preferred but not required.
