Summary:
The Development Events Support Specialist plays a critical role in supporting the planning, execution, and evaluation of donor and fundraising events across the system. This position provides centralized operational, logistical, and reporting support for philanthropy events, helping ensure events are well-organized, donor-centered, and aligned with system-wide standards and best practices.
Essential Functions:
Provide centralized logistical support for philanthropy events across the system, including donor recognition events, cultivation events, stewardship events, and fundraising events. • Create and coordinate event timelines, task tracking, and event-related activities in collaboration with local philanthropy teams. • Coordinate logistical and vendor support, including catering, venues, rentals, audiovisual needs, and other event-related services, as directed. • Prepare and organize event materials, including guest lists, registration lists, name badges, signage, programs, and run-of-show documents. • Provide on-site or virtual event execution as needed, in coordination with internal and external partners. • Maintain accurate centralized tracking of philanthropy events, including attendance, sponsorships, expenses, and revenue, in collaboration with philanthropy systems and finance partners. • Lead post-event reporting by compiling data, reconciling attendance and revenue information, and assisting in the preparation of internal and donor-facing summaries. • Assist with tracking stewardship and follow-up actions resulting from events to ensure timely acknowledgment and next steps. • Consistently document event details, outcomes, and best practices to support institutional knowledge and continuous improvement. • Coordinate with donor relations and communications teams to support event invitations, acknowledgments, and follow-up communications as directed.
Location: Hybrid - can be based in the Southern, Midcoast or Mountain regions of MaineHealth
Required Minimum Knowledge, Skills, and Abilities (KSAs)
  1. Education: Bachelor's degree required
  2. License/Certifications: N/A
  3. Experience: Minimum of two years of experience in event coordination, development operations, donor relations, or administrative support.
  4. Additional Skills: Familiarity with CRM systems and event registration platforms. Demonstrated project management skills with the ability to manage multiple initiatives and deadlines simultaneously and work independently. Experience building event budgets and forecasting projected expenses.

The pay range for this position is $66,123.20 to $89,481.60 per year.
Compensation for part-time positions is determined on a prorated basis consistent with the scheduled hours and applicable full-time equivalent (FTE).
