Job Title: Back Office – Check In/Out

Reports to: Office Manager

Job Purpose: Serves patients by greeting and helping them through the check out process including scheduling appointments and referring orders.


Job Description:

  1. Reviews services received by patients, checking to make sure that all services received were checked on the encounter form.
  2. Tells patient if any additional monies are owed if co-pay was collected at check-in.
  3. Makes return appointment for the patient if needed.
  4. Reviews orders written by providers and determines where test and procedures may be performed based on patient’s insurance and demographics.
  5. May provide the patient with information about the test or procedure.
  6. Pre-authorizes, pre-certifies, or pre-notifies the test or procedure if required by the patient’s insurance company.
  7. Schedules the test or procedure when applicable.
  8. Provides the patient with information about preparation for the test or procedure.
  9. Assists the MA’s with authorizations, charts, etc. as needed.
  10. Protects patients’ rights by maintaining confidentiality of personal and financial information including discussing patient information.
  11. Contributes to team effort by accomplishing related duties as needed. i.e. filing, distributing faxes, answering phones, assist other areas of the office.
  12. Directs visitor (drug reps, salespersons, etc.) appropriately
  13. Maintains operations by following policies and procedures per the employee handbook and reporting needed changes to the office manager.
  14. Assist with close of day as needed.
  15. During down time follow items to be done per the protocol.
  16. Performs other duties as assigned by supervisor or management to support operational and organizational needs.

QUALIFICATIONS :

Attention to Detail, Multi-tasking, Flexibility, Telephone Skills, Customer Service, Time Management, Organization, Scheduling, Professionalism, Computer proficiency.


EDUCATION and/or EXPERIENCE :

High school diploma or general education degree (GED) and at least six (6) months related experience and/or training preferred; or equivalent combination of education and experience.


LANGUAGE SKILLS :

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to clients and other employees of the organization.


REASONING ABILITY :

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
