Job description

The Import & Export Coordinator is responsible for coordinating the day-to-day import and export operations, ensuring compliance with all relevant regulations and timely processing of shipments. This role involves close collaboration with customs brokers, freight forwarders, and internal departments to facilitate smooth import and export activities. The Coordinator also provides critical support for various import/export projects and assists with additional tasks as assigned by the Import & Export Specialist.
Responsibilities: 
  • Document Handling: Receive, review, and submit import documents (commercial invoices, packing lists, bills of lading, and arrival notices) for both air and ocean shipments to customs brokers for timely processing.
  • Customs Clearance: Review and verify customs entry details to ensure accurate and timely clearance of goods, coordinating closely with customs brokers.
  • Invoice Management: Submit all import/export-related invoices, including monthly duty payments, into the OA system, adhering to finance department requirements.
  • Export Coordination: Support export shipments by working with assigned freight forwarders, creating export documentation (commercial invoices, packing lists), filing export declarations, and ensuring compliance with packing requirements.
  • Shipment Tracking: Provide regular updates on import shipment status to the Import & Export Specialist and other relevant teams, ensuring transparency and efficient communication.
  • Project Support: Assist with various import/export projects as needed, contributing to the successful completion of these initiatives.
  • Additional Responsibilities: Support other tasks as assigned by the Import & Export Specialist, including assisting with broader customer service duties when required.
Requirements: 
  • Bachelor's degree in International Business, Logistics, Supply Chain Management, or a related field is preferred.
  • 3+ years of experience in import/export shipping and customs clearance.
  • Knowledge of Import/Export Processes: Familiarity with the basic processes involved in U.S. import/export and international shipping, including ocean, air, and land transportation.
  • Understanding of Trade Terms: Basic understanding of international trading terms and conditions
  • Technical Skills: Proficiency in Microsoft Office Suite, particularly Excel, Word, and PowerPoint
  • Attention to Detail: Strong organizational skills with a high level of attention to detail.
  • Communication: Ability to maintain a positive, empathetic, and professional attitude in all interactions, ensuring clear and timely communication with customers and internal teams.
