Position Summary
The Shipper / Planner is responsible for coordinating shipping activities, production documentation, and shipment planning in our fast-paced manufacturing environment. This role requires strong organizational skills, extreme attention to detail, and advanced Microsoft Excel capabilities to ensure accurate documentation, scheduling, and on-time deliveries. The successful candidate must be able to multitask, communicate effectively with multiple departments (like Production, Scheduling, and Inventory), and work efficiently under pressure in a high-volume operational setting.

Key Responsibilities

Shipping & Logistics Coordination

  • Coordinate daily shipments and transportation activities.

  • Prepare shipping documentation, packing slips, bills of lading, and courier paperwork.

  • Schedule pickups and deliveries with carriers and freight companies.

  • Ensure shipments are accurate, complete, and meet customer requirements.

  • Track shipments and follow up on any delivery issues or delays.

  • Communicate shipping priorities and schedule changes to internal departments.

Planning & Documentation

  • Review production schedules and coordinate shipment readiness.

  • Ensure all manufacturing documentation is complete and accurate prior to shipment.

  • Maintain organized records of shipping documents and production paperwork.

  • Update ERP/system transactions related to shipping and inventory movement.

  • Support production planning by monitoring job status and shipment timelines.

  • Assist with the prioritization of urgent customer orders and expedite requests.

Excel Reporting & Data Management

  • Create and maintain Excel spreadsheets, trackers, and shipping logs.

  • Analyze shipment data, schedules, and operational reports daily.

  • Generate reports related to shipment tracking, on-time delivery performance, and backlog status.

  • Maintain the accuracy of all operational data and documentation.
    Import and Export Coordination

  • Coordinate import and export shipments in compliance with Canadian and international trade regulations.
  • Prepare and review import/export documentation, including commercial invoices, packing lists, certificates of origin, and customs documentation.
  • Coordinate CUSMA (Canada–United States–Mexico Agreement) documentation and ensure compliance with applicable rules of origin.
  • Work closely with customs brokers, freight forwarders, and carriers to facilitate timely cross-border shipments.

Qualifications & Skills

Experience: 3 years of experience in manufacturing, shipping, logistics, or production planning is preferred.

Software: Strong Microsoft Excel skills are required. Experience working with ERP/MRP systems is considered an asset.

Organization: Excellent organizational and time management skills with the ability to multitask in a fast-paced environment.

Communication: Effective communication and problem-solving skills to work collaboratively within cross-functional teams.

Attributes: A strong sense of urgency, accountability, and a process-oriented mindset.
